How to switch from spreadsheets to cloud ERP without losing a number
Accounts on one office PC and a stock sheet in Excel work until the business outgrows them. The move to one shared system is smaller than it looks if you move the right things on the right date.

In short
To switch from spreadsheets to cloud ERP, pick the first day of a month, carry in masters, opening balances, party balances and stock as of the day before, lock that day, and run both systems for two weeks. SimpleERP has a tool for each step.
What does switching from spreadsheets to cloud ERP involve?
Switching means choosing one date, carrying the balances and open items of that date into the new system, and posting every new document there from that day on. You do not re-enter years of transactions. The old books stay where they are, closed and readable, and the new system starts from a trial balance that matches them to the cent.
Most small businesses arrive here with accounts in a desktop package on one computer, stock in Excel and warehouse numbers in a chat group. Nothing connects them, so every number is typed twice.
Decide you need to move
Look for the signs: a queue for the PC, stock that never matches, balances that need a phone call.
Pick the cut-over date
The first day of a month, ideally the first day of your financial year or of a quarter.
Set up and load masters
Products, customers, suppliers, warehouses and the team.
Enter opening figures
The trial balance as of the day before cut-over, a balance per party and stock by product. Lock that day once they match.
Dry run for two weeks
Post real documents in both systems and compare the totals each week.
Go live
Stop posting in the old system and keep it read-only.
How do you know your business has outgrown spreadsheets?
You have outgrown them when the work waits on the software instead of the other way round. The most common signs are a second person waiting for the one PC with the accounts on it, a stock sheet that disagrees with the shelf, and a customer balance that needs a phone call to the bookkeeper.
- Two people need to invoice at the same time and one of them waits.
- The physical count never matches the sheet, and nobody knows which movement is missing.
- Backups live on a USB stick in a drawer.
- The owner cannot see today's sales, cash or receivables from a phone.
There are eight signs in all, each with what it costs a month. Read eight signs your business has outgrown spreadsheets if you are still deciding. If the stock sheet is the main pain, why your Excel stock register is always wrong explains the five ways it fails.
How is software on one PC different from cloud ERP on a normal Tuesday?
The difference is not features on a list. It is who can work, from where, at the same moment. Here is a typical Tuesday at a 10 person business in both set-ups.
| On a normal Tuesday | Desktop accounts on one PC plus Excel | Cloud ERP |
|---|---|---|
| Who can log in | Whoever sits at the PC with the licence; others wait or keep their own sheet | Every member at once, each with a role that sets what they see and do |
| Where the data lives | On one computer, with copies on a USB stick and in email | On a server, reached from a browser on a laptop or phone |
| Stock after an invoice | Updated in Excel when someone remembers | Reduced by the invoice itself, at average cost |
| "How much does Riverside Stores owe?" | A call to the bookkeeper, who checks the ledger | The ageing report, by party and by invoice |
| When the PC dies | Work stops until it is repaired and the last backup is restored | Log in from another device and carry on |
Remote access or hosting can put a desktop licence online, but each session still needs its own seat. A system built for several users at once is a different thing. Multi-user accounting software compares the three set-ups in detail.
What moves to the new system, and what stays behind?
Balances and open items move; history stays. You carry over what the business needs to keep working from the cut-over date, and you leave the closed transactions in the old system as the archive your auditor can still open.
| Item | Moves? | How |
|---|---|---|
| Products and services, with unit, rate and tax rate | Yes | Imported from a spreadsheet, or entered on screen |
| Customers and suppliers, with tax number and terms | Yes | Imported with tax number, address and opening balance, or entered on screen |
| Ledger balances (cash, bank, loans, capital, tax) | Yes | Opening balances wizard, as of the day before cut-over |
| Open customer and supplier invoices | Yes | One opening balance per party, the total of its open invoices |
| Stock quantity and value per warehouse | Yes | Opening stock by product, by adjustment or in the product CSV |
| Fixed assets | Yes | Cost and accumulated depreciation |
| Paid invoices and old transactions | No | Stay in the old system, read-only, as the archive |
The order to do it in, with who does each item, is in moving your data to SimpleERP. Coming from a desktop package such as QuickBooks or Sage, export each list to Excel from its list screen first.
When should you switch: year start or the middle of the year?
Switch on the first day of your financial year if it is close; otherwise switch on the first day of any month. A year start gives one system per financial year, so reports, returns and invoice numbering all start clean. A mid-year switch works just as well if you take a trial balance as of the last day of the previous month and keep the sales and purchase registers of both systems for that month.
Never switch mid-month. A month split across two systems means two half-registers for one tax return, and that is where numbers get lost. When to switch accounting software has a decision table by size, audit and payroll.
A worked example: Harbour Steel Furniture moves on 1 October
Harbour Steel Furniture is the fictional maker of steel racks, chairs and cupboards used across these guides, with amounts in US dollars. It has 10 people, one tax registration, a main warehouse and a showroom across town. It kept its accounts on the bookkeeper's PC and its stock in Excel. The owner chose 1 October 2026 as the cut-over date, part way through the financial year.
The bookkeeper closed September in the old system and printed the trial balance as of 30 September 2026. This is the single document the new system must match.
| Account | Debit | Credit |
|---|---|---|
| Cash in hand | $4,250 | |
| Bank current account | $38,620 | |
| Trade receivables (3 open invoices) | $23,100 | |
| Inventory (at weighted average cost) | $21,900 | |
| Plant and machinery (cost) | $60,000 | |
| Accumulated depreciation | $18,000 | |
| Trade payables | $18,470 | |
| Term loan | $35,000 | |
| Sales tax or VAT payable | $2,840 | |
| Capital and reserves, with profit to 30 September | $73,560 | |
| Total | $147,870 | $147,870 |
Receivables of $23,100 are not one number in the new system. They go in per customer, so each statement of account and the next payment start from the right balance.
| Customer | Old invoice | Date | Amount due |
|---|---|---|---|
| Oakfield Traders | HSF/0198 | 8 August 2026 | $6,490 |
| Riverside Stores | HSF/0212 | 2 September 2026 | $11,776 |
| Brightdesk Office Systems | HSF/0219 | 15 September 2026 | $4,834 |
| Total | $23,100 |
Payables of $18,470 go in the same way, per supplier. Stock goes in by product and warehouse at quantity and average cost, and the values must add to $21,900. Fixed assets go in at cost of $60,000 with $18,000 of depreciation already charged, so future depreciation runs on the right base. The wizard posts the balancing line to Opening Balance Equity. Once capital, stock and every party balance are in, the trial balance in SimpleERP should match the one above line for line.
Opening balances when you switch accounting software walks through each entry with the journal and the balance sheet on the opening date.

How does a two-week dry run catch mistakes before go-live?
A dry run means posting the same real documents in both systems for two weeks and comparing the totals. It is the cheapest insurance in the whole move, because every mistake it finds is found while the old system still has the right answer.
- Every invoice and bill from the first two weeks is posted in both systems
- Sales and purchase register totals match, tax rate by tax rate
- Each customer's balance matches, starting with the three opening balances
- Bank balance matches the bank statement on the same date
- Stock quantity matches a spot count of ten fast-moving products
- Stock value on the stock screen equals the Inventory account, with a difference of zero
At Harbour Steel the dry run found one supplier bill for $2,832 entered in the old system but not in SimpleERP. Fixing it took five minutes.
What does the first month after go-live look like?
The first month is about habits, not data. Each person posts their own documents from their own login, the bookkeeper checks the registers weekly, and the owner reads the dashboard instead of asking for numbers.
- Week 1: salespeople raise invoices; the store enters supplier bills.
- Week 2: payments are recorded against invoices, not just against the party.
- Week 3: the first stock count in one warehouse, with differences posted as adjustments with a reason.
- Week 4: month close, the sales and purchase registers checked, and the lock date moved to 31 October.
The 30-day ERP implementation plan breaks this into daily tasks with a check at the end of each week.
What does your accountant need from you when you switch?
Your accountant needs one trial balance as of the cut-over date and the sales and purchase registers from both systems for the month of the switch. With those two, the books join without a gap.
- The closing trial balance from the old system as of the day before cut-over, signed off by your accountant
- The opening trial balance from the new system as of the cut-over date, matching it line by line
- Party-wise receivables and payables lists from both systems
- Stock list with quantity and value per warehouse as of the cut-over date
- Sales and purchase registers from the old system up to the cut-over date and from the new system after it
- A read-only copy of the old data for the year, kept for audit
Invoice numbering also deserves a word with your accountant. Most tax authorities expect invoice numbers to be unique and to run in sequence, and many allow more than one series. A new series or prefix that starts on the cut-over date, such as SE-2026-0001, keeps both systems' numbers apart.
How do you freeze the old period once you have switched?
Set an accounting lock date on the day before cut-over, so nothing can be posted into the period the old system already closed. In SimpleERP the database refuses postings dated on or before the lock date, whichever screen they come from.

In the old system, stop posting on the same day and keep the company file read-only. If an old invoice needs a credit note later, issue it in the new system, so the customer's balance stays in one place.
How does SimpleERP handle the move from spreadsheets?
SimpleERP gives each step of the switch its own tool. Setup seeds the chart of accounts, tax rates, units, roles and numbering for your country. Settings → Import data brings in masters, opening stock, balances and open bills from spreadsheets or Zoho Books, checked first and undoable, and posts the balancing line to Opening Balance Equity.
- Unlimited members, with seven ready-made roles and View, Manage and Approve permission levels.
- Posting an invoice writes the journal, the stock issue, the receivable and the tax in one step.
- Stock is valued at weighted average cost, and the stock screen shows its value beside the Inventory account with the difference.
- Posted documents cannot be edited; cancellation reverses them, and the audit history records every change.
- One accounting lock date freezes the old period.

FAQ
Questions, answered
Can I move my old transactions into a cloud ERP?
You do not need to. Move the balances as of the cut-over date, each party's open balance and the stock, and keep the old transactions in the old system as a read-only archive. Your auditor can still open them, and the new system starts from a trial balance that matches.
How long does it take to switch from spreadsheets to cloud ERP?
About a month for a business of 5 to 50 people. Setup and masters take a few days, opening balances a day once the trial balance is final, then a two-week dry run in both systems and a first month of building habits. The calendar is set by your cut-over date.
Do I have to wait for the start of my financial year to switch?
No. The year start is cleanest because reports and invoice numbering restart, but the first day of any month works. Take a trial balance as of the day before, keep both systems' sales and purchase registers for the switch month, and never cut over in the middle of a month.
What happens to customer balances when I switch?
Each customer's open invoices are added up and entered as that customer's opening balance, so statements show what each party owes from day one. The total must equal trade receivables in the closing trial balance. Keep the old system's outstanding list for the original invoice dates. Suppliers go in the same way.
Will my accountant accept a switch in the middle of the year?
Usually, if you give them a closing trial balance from the old system, a matching opening trial balance from the new one, and the sales and purchase registers from both for the switch month. Confirm the date and the invoice series with your accountant before you start.
