What you get on day one

Pick United States when you create the business. Everything below is seeded for you and editable in Settings.

  • Sales tax rates seeded. Setup asks for your home state's sales tax rate and adds it; add other states and localities as rates of their own.
  • Invoice with your EIN. The EIN is checked for format when you enter it and printed on every invoice.
  • USD amounts, MM/DD/YYYY dates. A total prints as $1,250,000.00, in words as dollars and cents.
  • A January to December financial year. Numbering runs per year: the first invoice is INV-2026-0001.
  • Payroll components ready. Salary, Bonus, Federal withholding, State withholding, Social Security, Medicare, 401(k), Employer Social Security and Employer Medicare.
  • Phones with +1. Customer, supplier and employee numbers take the +1 format; you and your team sign in with your email.

Sales tax

Sales tax on every line, worked out as you type

Each product carries its sales tax rate. Pick the customer, type the item, press Enter: sales tax, totals and the amount in words fill in as you go.

  • Sales tax on bills is added to the cost of what you buy, because you cannot reclaim it
  • A tax summary by rate for whoever files your returns
  • Credit notes reverse the tax with the sale

Sales tax in the US

Sales tax in the US: what you need to know

The rules the product is set up around, in plain words. Your accountant confirms what applies to you. Sources: IRS: Topic 751, Social Security and Medicare withholding, IRS: Topic 759, Form 940 (FUTA), IRS: Employment tax due dates, Streamlined Sales Tax.

  • No federal sales tax. Sales tax is set by states and localities. 45 states and the District of Columbia levy a statewide sales tax, and many cities and counties add their own rate on top.
  • Nexus. You collect a state's sales tax where you have nexus: a physical presence, or, since South Dakota v. Wayfair (2018), economic nexus once your sales into the state pass its threshold, commonly $100,000 a year.
  • Permits, not your EIN. Each state where you collect issues its own sales tax permit or account number. Your EIN is your federal employer number; it does not register you for sales tax.
  • Marketplaces. Every state with a sales tax makes marketplace facilitators (Amazon, Etsy and others) collect and remit on the sales they process, so you do not charge tax again on those orders.
  • Resale and exemptions. Buy stock for resale tax-free by giving your supplier a resale certificate, and keep exemption certificates from customers you do not charge. Tax you do pay on purchases is a cost: there is no input credit as under a VAT.
  • Returns. Each state sets its own filing frequency (monthly, quarterly or annually) based on how much tax you collect.

Payroll set up for the US

Salary components for the US are seeded when you create the business. Runs build each payslip from the structure and post salary expense and payables when you approve.

  • Social Security (6.2% employee and 6.2% employer, on wages up to $184,500 in 2026) and Medicare (1.45% each, no cap) are seeded
  • Federal and state income tax withholding depend on each employee's W-4 and state form: you enter them per run
  • FUTA (6.0% on the first $7,000 of each employee's wages, reduced by credit for state unemployment tax), Form 941 and W-2s are filed outside SimpleERP

FAQ

Questions, answered

Do I need to be registered for sales tax to use SimpleERP?

No. Setup asks whether you are registered. Registering for sales tax means holding a seller's permit (or sales tax license) from each state where you have nexus. Your EIN is your federal ID; it does not register you for sales tax. Rates differ by state and locality. If that changes, switch it in Settings; your EIN prints on every invoice once you add it.

What does a SimpleERP invoice show?

Your business name and address, your EIN, the customer, a number from a sequence that never repeats, the date, each line with its sales tax rate, the tax by rate and the amount in words. Your accountant can confirm what your business must show.

How much does SimpleERP cost in the US?

Every module is free for 7 days with no card. After that Premium is $50 per user per month ($600 per user per year), counted on the people who sign in. See pricing.

Does SimpleERP file my sales tax returns?

No. It keeps the records and gives you a tax summary by rate and the sales and purchase registers, all exportable to CSV, for whoever files your returns.

Does SimpleERP work out the rate for every address?

No. Setup adds your home state's rate, and you add other states or local rates as rates of your own. SimpleERP does not look up rates by address or track your nexus thresholds; use your state's rate tables or a rate service for that.

Can I sell to tax-exempt customers?

Yes. Choose the No tax rate on the invoice lines and keep the customer's exemption certificate on file.

Where is my data stored?

In a PostgreSQL database on the hosted service, where row-level security keeps each business to its own rows. Ask us where the service is hosted and how it is backed up, and export your reports to CSV whenever you like.
