A day in a distribution business
Distribution is volume on thin margins: many invoices, many parties, and money that sits with customers.
By ten in the morning the phone has rung twenty times. Ravi Stores wants forty office chairs, Annai Enterprises wants LED panels, and a retailer from Tiruppur asks whether the cable trays have arrived. Billing has to keep up with the counter, and every invoice has to be GST-correct.
By afternoon the questions change. Is there stock in the main godown or only at the Ukkadam store? Has Sri Murugan Traders paid last month's bills? Should we give them more credit? The answers live in a billing tool, an Excel sheet of dues and somebody's memory.
SimpleERP puts the answers in one place. Every invoice issues stock from a named warehouse, every receipt settles the invoices it pays, and the party ledger is derived from posted documents, so dues are never typed in by hand and never out of date.

The invoice editor is built for the keyboard: pick the party, type a product, Enter through quantity and rate, and save, with CGST and SGST or IGST chosen from the place of supply.
- Enter and Tab move through the line editor; ⌘K finds any party, product or document.

Inventory
Every godown, one stock figure you can trust
SimpleERP keeps stock on hand per product and warehouse, values it at weighted average cost, and changes it only through posted documents, so the number on screen is the number on the shelf.
- Warehouses appear only when you add a second one.
- Transfers move stock between godowns at cost, with a document for each move.
- Movement ledger shows every in and out with the document behind it.

Payments and receivables
Know who owes you, by how long
Receivables ageing splits every customer's dues into not due, 1 to 30, 31 to 60, 61 to 90 and 90+ days, straight from posted invoices and receipts.
- Receipts allocate oldest first, across several invoices, by cash, UPI, bank, cheque or card.
- On-account money waits until you apply it to an invoice.
- Payment reminders are written for you from the ageing list, to copy into WhatsApp or email.
- Customer statements with ageing at the period end, ready to print on A4.

Purchase
Buy on paper, receive into the right godown
Purchase orders go to suppliers with an expected date and a delivery warehouse, and the supplier bill receives the stock at the bill cost and updates the average.
- Duplicate guard stops the same supplier bill number being entered twice.
- Attach the scanned bill to the document it belongs to.
- Debit notes for returns to the supplier take the stock back out.
- Payables ageing and supplier statements show what you owe and when.
Credit control
Credit limits that speak up before you over-extend
Set a credit limit on a customer and SimpleERP warns, on the invoice itself, when the new bill would take their dues past it.
- Payment terms such as Net 15 or Net 30 set the due date on every invoice.
- The warning names the numbers: what the customer owes, what this bill adds and the limit.
- Posted invoices are frozen, so a bill cannot be quietly edited after it went out. Cancelling reverses it.

Honest limits
What SimpleERP does not do for distributors yet
If any of these are deal-breakers, it is better to know today.
- Price lists or customer-specific rate cards. Set the rate on the line, or the product's sale price.
- Batch, lot or expiry tracking.
- E-way bill or e-invoice (IRN) generation through the government APIs.
- Delivery notes or goods receipts as separate stock documents. Stock moves with the invoice or bill.
- Beat or route planning and salesman apps. SimpleERP is a web app that works on any phone browser.
- Automatic payment reminders by SMS or WhatsApp. You copy the reminder and send it yourself.

Start with your first invoice
Sign up with your phone
Name, phone number and a password. No card for the seven-day trial, and email is optional.
Tell us about the business
Type your GSTIN and the state fills itself. Accounts, GST rates, units, roles and numbering are seeded for you.
Add what you sell
Import your catalogue from a CSV file, with HSN, GST rate, reorder level and opening stock per warehouse. Add customers on screen, or straight from the invoice editor.
Post your first GST invoice
Pick the customer, add lines and save. Your first GST invoice can be out within 10 minutes of signing up.
FAQ
Questions, answered
Which GST rate applies when I resell goods I bought?
The rate follows the HSN code of the goods, the same as for the manufacturer. In SimpleERP you set the sales and purchase tax rate on each product, and the place of supply decides CGST and SGST or IGST. Rates change, so confirm the rate for your goods with your CA or the GST portal before you rely on it.
Can I bill a customer in another state?
Yes. When the customer's state differs from your branch's state, the invoice switches to IGST automatically. The state comes from the customer's GSTIN.
Does SimpleERP stop an invoice when a customer crosses the credit limit?
It warns rather than blocks. The invoice shows what the customer owes, what the new bill adds and the limit, and the person posting it decides.
How is stock valued across several godowns?
At weighted average cost per product across the business. Every purchase updates the average, sales issue at it, and transfers between godowns move at it, so moving stock never changes its value.
Can my salespeople see dues without seeing the books?
Yes. The seeded Sales role can raise quotations and invoices and see payments and dues, without access to the ledger, payroll or settings. To let them record receipts too, give them a custom role copied from Sales.
