For store and purchase teams

Stock you can trust and purchases that keep up

Know what is running low, order it, receive it against the supplier's bill, count it, move it and make with it, with every change recorded as a document.

In short

SimpleERP is purchase and stock software for store teams in Indian small businesses. A low-stock list becomes purchase orders, supplier bills receive stock at cost, counts and transfers are documents, and work orders consume and produce stock at weighted average cost.

What you open every morning

The low-stock list: every product at or below its reorder level, with the shortfall and the supplier you last bought it from.

  • Select what to reorder and create purchase orders, grouped by supplier, in one step.
  • Purchase orders due with their expected delivery dates.
  • Stock on hand by warehouse, with the value at average cost.
  • Bills waiting to post, so goods that arrived yesterday are in stock today.

Your screens

The five screens a store team lives in

Each one works on a phone, so counts and transfers can be done standing in the godown.

Purchase

Receive stock against the bill, at the bill's cost

Posting a supplier bill receives the goods into the chosen warehouse at the line cost and updates the weighted average, so stock value follows what you actually paid. Link the bill to its purchase order and the order shows what has been received.

  • Duplicate guard refuses the same supplier bill number twice.
  • Zero-cost warning when a stocked line would come in at ₹0.
  • Debit notes send goods back and take them out of stock.
  • Product CSV import with a dry run that shows every error before anything is written.

Manufacturing

Work orders that consume and produce stock

If you make what you sell, a work order issues the components from one warehouse and receives the finished goods into another at actual cost when it is completed.

  • Bills of materials with scrap and additional cost per batch.
  • Availability check against the source warehouse when the work order is planned.

What changes

What you stop doing

  • Keeping a stock register next to the billing software.
  • Overwriting stock numbers. Stock changes only through posted documents, so every change has a reason.
  • Finding out at month end that a product ran out a week ago.
  • Re-entering supplier bills for the accountant. The bill you post is the one in the books.
  • Asking sales what was sold before you reorder. Every invoice has already taken its stock out.

Your access

You get the Purchase & Inventory role

The seeded Purchase & Inventory role covers suppliers, purchase orders, bills, debit notes, products, stock, warehouses and manufacturing, plus inventory reports, with payments as view only.

  • No access to sales, the ledger or payroll unless the owner gives you a custom role.
  • Approve permissions for posting adjustments and transfers can be given or held back by role.

FAQ

Questions, answered

How do I correct stock after a physical count?

Create a stock adjustment in count mode, enter the counted quantity, and SimpleERP posts the difference with the reason you choose. If stock moved since you saved, it shows the new difference and asks you to confirm.

Can stock go negative?

Not by default. Posting a document that would take a product below zero in a warehouse is refused, with a message naming the product and warehouse. An owner can allow negative stock from the warehouses screen.

Can I import my product list?

Yes. Upload a CSV, map the columns, run a dry run that lists every error by row, then import. Opening quantities in the file become an opening stock adjustment per warehouse.

How is stock valued?

At weighted average cost per product. Each receipt updates the average, and sales, transfers and work orders issue at it. See the worked example.

Can I see who changed a stock number?

Yes. Stock changes only through documents such as bills, invoices, adjustments, transfers and work orders, and the movement ledger lists each one with its date, quantity, cost and the document behind it. Edits to products and documents are also kept in the audit log with the person and time.
