A day in a retail business

A shop is judged at the counter, but it is run from the back office: stock, cash and people.

The shutter goes up at nine. The first customer wants two office chairs and pays by UPI; the next wants a GST bill for his company. At the second store across town, a staff member is late, and someone asks whether the LED panels are in stock here or only at the main shop.

At closing, the owner wants three numbers: what we sold, what came in as cash and UPI, and what is running low. Usually that means a billing app, a cash book in a notebook and a phone call to each store.

SimpleERP keeps all three in one place. Each invoice issues stock from the store it was sold in, each receipt lands in the cash or bank account it was paid into, and the dashboard shows sales, dues and low stock the moment a document is posted.

GST billing

Counter invoices that customers can pay on the spot

Every invoice prints on clean A4 with your bank details and a UPI QR, so a customer can scan and pay before the bill leaves the counter.

  • Walk-in buyers go on one customer you name, such as Counter sale; business buyers get their GSTIN on the bill.
  • Keyboard-first editor: party, product, quantity, Enter, save.
  • Record the payment as cash, UPI or card and the invoice shows paid.
  • Returns become a credit note that puts the stock back on the shelf.

Inventory

Stock by store, and a list of what to reorder

Each store has its own warehouse in SimpleERP, so stock on hand is known per store and the low-stock list shows what to reorder before the shelf is empty.

  • Reorder level per product; anything at or below it is flagged.
  • One click turns low-stock items into purchase orders, grouped by supplier.
  • Transfers move stock from the main godown to a store with a document for each move.
  • Physical counts fix the numbers with a reason, and the difference is posted to the books.

Branches

A second store without a second system

Add a branch and SimpleERP gives it its own address, GSTIN and warehouse, prints that branch's details on its invoices, and keeps every store on one set of books.

  • Branch on every document, so sales reports, the GST registers and the general ledger filter by store.
  • One numbering series per document type across the business, on the April to March year.
  • One ledger for every store, so profit and loss and the balance sheet cover the whole business.
  • A one-shop business never sees branches until it adds one.

Accounting

Close the day knowing where the money went

Receipts post straight to the cash or bank account they were paid into, so the cash register and bank register show a running balance without a separate cash book.

  • Expenses such as rent, power or tea are recorded with the receipt photo.
  • Lock date at month end freezes the books so nobody edits last month by mistake.

Staff attendance in one tap per store

Mark the whole team present in one screen each morning, or let staff check in from their own phone, and the month's attendance flows into payroll.

A new shop is ready to bill minutes after sign-up, because the plumbing is seeded.

  • Cash and bank accounts, sales and stock accounts, already linked.
  • GST rates split into CGST, SGST and IGST.
  • A head office branch and a default warehouse.

Honest limits

What SimpleERP does not do for retail yet

A shop with heavy counter traffic should weigh these first.

  • POS hardware such as receipt printers, cash drawers or weighing scales. Invoices print on A4.
  • Loyalty points, gift cards, offers or price lists.
  • Batch, lot or expiry tracking.
  • Offline billing. SimpleERP is a web app and needs an internet connection.
  • Separate invoice numbering per store. All stores share one series per document type.
  • E-invoice (IRN) or e-way bill generation through the government APIs.

Getting started

Start with your first invoice

  1. Sign up with your phone

    Name, phone number and a password. No card for the seven-day trial, and email is optional.

  2. Tell us about the business

    Type your GSTIN and the state fills itself. Accounts, GST rates, units, roles and numbering are seeded for you.

  3. Add what you sell

    Import your products from a CSV file with HSN, GST rate, reorder level and opening stock, then create one customer for walk-in sales.

  4. Post your first GST invoice

    Pick the customer, add lines and save. Your first GST invoice can be out within 10 minutes of signing up.

FAQ

Questions, answered

Which GST rate applies to the products in my shop?

Each product carries its own rate, decided by its HSN code, so one bill can mix rates. In SimpleERP you set the rate and HSN on the product and the invoice applies it line by line. Rates change, so confirm the rate for your goods with your CA or the GST portal before you rely on it.

Do I need a GSTIN from every customer?

No. Sales to consumers can go on a walk-in customer without a GSTIN. When a business buyer gives you their GSTIN, add them as a customer and it prints on the invoice. Ask your CA how B2C sales should be reported in your returns.

Can customers pay by UPI from the bill?

Yes. Add your UPI id to the bank account in settings and every invoice prints with a UPI QR. When the money arrives, record the receipt as UPI and the invoice shows paid.

Can each store have its own GSTIN?

Yes. Each branch has its own address, state and GSTIN, and invoices raised under a branch print that branch's details. All branches share one ledger, so you see each store and the whole business.

Does it work on a phone at the counter?

Yes. Every screen works on a 360 px phone, including the invoice editor. There is no separate app to install; it runs in the phone's browser.
