Accounting
Accounting software for small businesses
A complete double-entry ledger that fills itself from your invoices, bills, payments and payroll, and that the database keeps balanced.
In short
SimpleERP is accounting software for small businesses in India. Every invoice, bill, payment, payslip and expense posts its own journal, PostgreSQL refuses unbalanced entries, and the trial balance, P&L and balance sheet are ready on any day.

The daily job: books that are right without a month-end scramble
In most small businesses the books are a month behind the business. In SimpleERP they are written by the same action that does the work, so they are current every evening.
- Know your cash, dues and profit on any day, not after the CA visits
- Post only what no document covers: loan EMIs, drawings, bank charges
- Close a month with a lock date; reopening it needs approval and is logged
Automatic
Every document posts its own journal
Nobody in your team has to post to Accounts Receivable. Invoices, credit notes, bills, debit notes, payments, payroll, expenses, claims, work orders and depreciation each write a balanced journal when they post, linked back to the document that caused it.
- Click any ledger line to open the invoice or bill behind it
- Sales, tax, cost of goods sold and stock go to the right accounts
- Customer and supplier balances carry the party on every line

Correct by construction
The database refuses an unbalanced journal
The rules accountants care about are enforced by PostgreSQL itself, not by remembering to call the right function. That holds whether an entry comes from a screen, an import or a bug.
- Debits must equal credits, or the entry is refused
- Posted entries and documents are frozen against edits
- Mistakes are reversed with a new entry, never deleted
- Balances are computed from posted lines, never typed
- Every change records who made it and when
Manual journals
Manual journals for what no document covers
The journal editor shows a running difference that stays red until debits equal credits, and Post stays disabled until then. Reverse any entry with a date of your choice, and both entries stay linked.
- Journals touching customers or suppliers must name the party
- Stock accounts are left to stock adjustments, so stock value and the ledger never drift apart
- Reverse an entry into the open month without touching the locked one
| Account | Debit | Credit |
|---|---|---|
| Loans payable | ₹18,000 | |
| Interest on loan | ₹7,000 | |
| Bank | ₹25,000 |
Statements
Trial balance, P&L and balance sheet on any day
Statements are read straight from posted journal lines for whatever dates you pick. Prior years' profit is carried into retained earnings automatically, with no closing entries to post, so the balance sheet always agrees with the P&L.
- Profit and loss with gross profit, net profit and a comparison period
- Balance sheet where assets equal liabilities plus equity to the paisa
- General ledger, account detail with running balance, and day book
- Direct cash flow grouped by customers, suppliers, salaries and taxes
- Print any statement on white A4, or export it to CSV from reports
Cash and bank
Bank and cash registers you can reconcile
Each bank and cash account has a card with its balance and a register of every line. To reconcile, enter the statement's closing balance and date, tick the lines that cleared, and finish when the difference reaches zero. A quick transfer moves money between your own accounts.
Start and close
Opening balances in, lock date on, month closed
A three-step wizard brings in account balances and what each customer and supplier owes, as one opening entry you review before posting. At month end, Lock books through a date shows what becomes frozen, and from then on the database refuses any posting on or before it.
- Opening stock comes in through a stock adjustment with its own value
- Drafts dated in the locked period are listed as a to-do first
- Moving the lock date back needs its own permission and is audited

FAQ
Questions, answered
Is SimpleERP accounting software or an ERP?
Both. It keeps a complete double-entry ledger, and sales, purchase, stock, payroll and the other modules write to that same ledger. The ERP vs accounting software guide explains the difference.
Can my CA or accountant work in it directly?
Yes. Invite them by phone or email with the Accountant role. They get journals, bank registers, statements, the GST summary and the lock date, and can export any report to CSV. They count as one user on the Premium plan.
Can I post a back-dated entry after locking the books?
No. The database refuses any posting on or before the lock date. Reverse in the open month instead, or have someone with the right permission move the lock date back, which is recorded in the audit log.
How do I start if my books are in Tally?
Use the opening balances wizard for account, customer and supplier balances as of your start date, and bring stock in by CSV. See moving from Tally or Excel.
Can I delete a wrong journal entry?
A draft, yes. A posted entry is reversed instead, so the history shows what happened and when. Entries created by an invoice or bill are reversed by cancelling that document.
