For accountants

Books that balance themselves, and a month end that ends

Invoices, bills, payments, payroll and depreciation post their own journals. You review, reconcile, adjust and lock, instead of re-entering what the business already typed.

In short

SimpleERP is ERP software for accountants working with Indian small businesses. Every document posts its own balanced journal, the database refuses an unbalanced entry, posted documents are frozen, and GST registers, bank registers and a lock date close the month.

What you open every morning

The day book and the bank register: what was posted yesterday, and what has cleared the bank.

  • Day book: every entry in posting order, each one linked to the document behind it.
  • Bank and cash registers with a running balance and a cleared column.
  • Payables and receivables ageing, to plan the week's payments.
  • Drafts still waiting to post, so nothing sits half entered at month end.

Your screens

The five screens an accountant lives in

Most of the job happens on these five screens; the documents themselves are created by sales, purchase and HR.

ScreenWhereWhat you do there
PaymentsPaymentsRecord receipts and payments and allocate them to invoices and bills
Purchase billsPurchase › BillsEnter and post supplier bills, apply debit notes
JournalsAccounting › JournalsPost manual entries such as loan EMIs or drawings, and reverse them
BankingAccounting › BankingWork through each bank register and tick what has cleared
ReportsAccounting › Reports, ReportsTrial balance, profit and loss, balance sheet, GST summary and registers

Posting

Every document writes its own journal

A sales invoice posts the receivable, the sale, the GST, the cost of goods and the stock issue in one step, and bills, credit and debit notes, payments, payroll, work orders and depreciation do the same. Click any line in a ledger and you land on the document that created it.

  • The database refuses an unbalanced journal, so debits always equal credits.
  • Posted documents are frozen. Corrections are cancellations that reverse, never deletions.
  • Balances are derived from posted lines, so a party balance cannot drift from its ledger.

Saving an invoice moves stock, posts the ledger and records GST.

Month end

Close the month in an afternoon

Check the trial balance, reconcile the bank, pull the GST registers and set the lock date, after which the database refuses any posting on or before it.

  • Sales and purchase registers for your GSTR-1 and GSTR-2B checks, with CSV export.
  • HSN summary for the GSTR-1 HSN table.
  • Lock date with a list of drafts that will fail to post, so nothing slips through.
  • Opening balances wizard for accounts, customers and suppliers when a business starts.

What changes

What you stop doing

  • Re-entering sales and purchases from a billing tool into the books.
  • Hunting for the difference in a trial balance that does not tally.
  • Asking the owner for exports at month end. You work in the same books.
  • Worrying that last month was edited. The lock date and the audit log settle it.
  • Building GST working sheets from scratch. The registers and HSN summary export to CSV as they are.
  • Chasing the store for stock figures. Stock value on the balance sheet comes from the same movements the store records.

Your access

You get the Accountant role

The seeded Accountant role covers accounting, payments, invoices and bills, credit and debit notes, expenses, fixed assets, finance reports, and the tax and numbering settings, with payroll as view only.

  • Lock date is yours to set, and moving it back is recorded in the audit log.
  • Need more or less access? The owner can give you a custom role, copied from Accountant and adjusted.

FAQ

Questions, answered

Can I work on several clients' books with one login?

Yes. If several businesses invite your phone number, you choose the business after sign-in and switch between them. Each business is kept separate by row-level security in the database.

Can I undo a posted journal?

Yes, by reversal. SimpleERP posts a reversing entry dated in the open period and links the two. The original stays, so the history is complete.

Is there bank reconciliation?

Yes, by register. Each bank register has a cleared column you tick against the statement. There are no automatic bank feeds; statements are not imported.

Can I export the books?

Yes, as CSV. Every report exports, including the general ledger, the GST registers and the HSN summary, and so do the account ledger and the product and stock lists. Settings › Export adds the chart of accounts, tax rates and the audit log. Documents such as invoices print as A4 rather than export. There is no export in Tally's own format.

Does SimpleERP file GST returns?

No. It produces the registers, HSN summary and GST summary you use to prepare and check the returns, but filing is done on the GST portal. See GST compliance.
