Moving from Tally or Excel, step by step

You do not need to bring years of history. Bring your products, your customers and suppliers, and your balances on one date, then run both systems side by side for a month.

Moving from Tally or Excel to SimpleERP takes five steps: import products from a CSV file, add customers and suppliers, enter opening balances in the wizard, post opening stock as adjustments, and run both systems in parallel for a month.

Pick a start date first

Everything hangs on one date: the day before SimpleERP takes over. The start of a month works; the start of the financial year on 1 April is cleanest.

  • Balances are entered as of that date, by default the day before the financial year starts.
  • Old invoices stay where they are. Keep Tally or your Excel files for history and audits.
  • Open invoices travel as party balances, so dues are not lost.

Step 1

Import products from a CSV file

Export your stock items to a spreadsheet, save it as CSV and upload it; SimpleERP matches the columns, runs a dry run that lists every error by row, and writes nothing until you confirm.

  • Columns for name, SKU, unit, category, prices, GST rates, HSN, barcode and reorder level.
  • Opening quantity and cost per warehouse become an opening stock adjustment.
  • Re-import to update prices and details by SKU without touching stock.

Step 2

Add customers and suppliers on screen

There is no CSV import for customers and suppliers yet, so add your regular parties on screen and the rest the first time you bill them, straight from the invoice editor.

  • Type the GSTIN and the state fills itself.
  • Payment terms and credit limit set once per customer.

Steps 3 and 4

Opening balances and opening stock

The opening balances wizard takes account balances, then customer and supplier balances, and shows one draft journal balanced against opening balance equity before you post it.

  • Re-run the wizard while its entry is still a draft.
  • Opening stock posts through a stock adjustment with the opening stock reason, at the cost you enter.
  • Check the trial balance against your old books on the start date.

Step 5

Run both for a month, then switch

For the first month, bill in SimpleERP and keep your old books going, then compare sales, dues, stock and GST at month end before you stop the old system.

  • Compare the sales register with your old sales book.
  • Compare receivables ageing with your debtors list.
  • Compare stock on hand with a physical count of your top products.
  • Set the lock date on the first month once the numbers agree.

Honest limits

What the move does not include

  • Direct import of Tally data files or XML.
  • CSV import of customers, suppliers or ledger balances. Products are the only CSV import today.
  • Importing past invoices or bills. History stays in your old system.

FAQ

Questions, answered

Can SimpleERP import my Tally data directly?

No. Export your stock items to Excel and import them as a CSV file; customers, suppliers and balances are entered on screen and in the opening balances wizard.

When is the best time to switch?

The start of a financial year is cleanest, because there are no part-year figures to reconcile. The start of any month works too, as long as you enter balances as of the day before.

What if I enter an opening balance wrongly?

While the opening entry is a draft, re-run the wizard. After it is posted, correct the difference with a manual journal, which the audit log records.

Can my accountant do the opening balances?

Yes. Invite them with the Accountant role and they can run the opening balances wizard and check the trial balance themselves.
