What you get on day one

Pick United Kingdom when you create the business. Everything below is seeded for you and editable in Settings.

  • VAT rates seeded. VAT 20%, VAT 5% (reduced), VAT 0% (zero-rated) and Exempt, with VAT 20% as the default.
  • VAT Invoice with your VAT number. The VAT number is checked for format when you enter it and printed on every invoice.
  • GBP amounts, DD/MM/YYYY dates. A total prints as £1,250,000.00, in words as pounds and pence.
  • An April to March financial year. Numbering runs per year: the first invoice is INV-2026-27-0001.
  • Payroll components ready. Salary, Bonus, PAYE income tax, Employee NI, Pension (employee), Employer NI and Employer pension.
  • Phones with +44. Customer, supplier and employee numbers take the +44 format; you and your team sign in with your email.

VAT in the UK

VAT in the UK: what you need to know

The rules the product is set up around, in plain words. Your accountant confirms what applies to you. Sources: GOV.UK: VAT registration, GOV.UK: VAT rates, GOV.UK: Making Tax Digital for VAT, GOV.UK: VAT Flat Rate Scheme, GOV.UK: Workplace pensions for employers.

  • Registration. You must register for VAT when taxable turnover passes £90,000 in a rolling 12 months, or is expected to in the next 30 days alone. You can deregister below £88,000, and register voluntarily at any turnover.
  • Rates. 20% standard. 5% reduced for domestic fuel and power and children's car seats. 0% for most food, books and newspapers, and children's clothes. Some supplies, such as insurance and most education, are exempt.
  • VAT invoices. Show your VAT number, a unique sequential number, the date, the customer's name and address, each line's price before VAT, the rate and the VAT, and the total. A simplified invoice is allowed for retail sales of £250 or less.
  • Making Tax Digital. Every VAT-registered business keeps digital records and files its VAT return through MTD-compatible software, usually quarterly.
  • Flat Rate Scheme. With taxable turnover of £150,000 or less a year you can pay a fixed percentage of turnover instead of working out VAT on each purchase.
  • Reverse charge. Services bought from a business abroad are reverse-charged: you account for the VAT and reclaim it in the same return. SimpleERP self-assesses it on bills from suppliers in other countries.

FAQ

Questions, answered

Do I need to be registered for VAT to use SimpleERP?

No. Setup asks whether you are registered. You must register for VAT once your VAT-taxable turnover passes £90,000 in a rolling 12 months. If that changes, switch it in Settings; your VAT number prints on every invoice once you add it.

What does a SimpleERP vat invoice show?

Your business name and address, your VAT number, the customer, a number from a sequence that never repeats, the date, each line with its VAT rate, the tax by rate and the amount in words. Your accountant can confirm what your business must show.

How much does SimpleERP cost in the UK?

Every module is free for 7 days with no card. After that Premium is £40 per user per month (£480 per user per year), the fixed equivalent of USD 50, counted on the people who sign in. See pricing.

Does SimpleERP file my VAT returns?

No. It keeps the records and gives you a tax summary by rate and the sales and purchase registers, all exportable to CSV, for whoever files your returns.

Can I file my VAT return to HMRC from SimpleERP?

Not today. SimpleERP is not MTD-compatible filing software. It keeps the digital records and gives you the VAT summary by rate and the sales and purchase registers as CSV; file through bridging software or your accountant's MTD software.

Can I use SimpleERP on the Flat Rate Scheme?

Yes for the invoices: they show VAT at the normal rates, as the scheme requires. SimpleERP does not work out the flat-rate percentage of turnover you pay to HMRC; your accountant does that from the sales register.

Where is my data stored?

In a PostgreSQL database on the hosted service, where row-level security keeps each business to its own rows. Ask us where the service is hosted and how it is backed up, and export your reports to CSV whenever you like.
