VAT in the Netherlands
VAT in the Netherlands: what you need to know
The rules the product is set up around, in plain words. Your accountant confirms what applies to you. Sources: Belastingdienst: VAT rates and exemptions, Belastingdienst: hotel stays at 21% from 2026, business.gov.nl: VAT number, business.gov.nl: small businesses scheme.
- Registration. There is no threshold: once you register with the Chamber of Commerce (KVK), the Tax Administration sends a VAT number (btw-id) for your invoices and a separate VAT tax number for your returns.
- Small businesses scheme (KOR). With turnover of €20,000 a year or less you can opt in: you charge no VAT, reclaim none and file no returns.
- Rates. 21% standard; 9% for food, medicines, books and camping, among others. Since 1 January 2026 hotel and holiday stays are at 21%. Exports and supplies to businesses in other EU countries are at 0%.
- Returns. Most businesses file quarterly, by the end of the month after the quarter.
- Invoices. Show your btw-id, your and the customer's name and address, a sequential number, the date, a description, the amount before VAT, the rate and the VAT.
- Reverse charge. For services bought from a business abroad the VAT moves to you (btw verlegd). SimpleERP self-assesses it on bills from suppliers in other countries.

FAQ
Questions, answered
Do I need to be registered for VAT to use SimpleERP?
No. Setup asks whether you are registered. Every business charges VAT (btw) from its first sale. With turnover of €20,000 a year or less you can opt into the small-business scheme (KOR) and charge none. If that changes, switch it in Settings; your VAT number prints on every invoice once you add it.
What does a SimpleERP invoice show?
Your business name and address, your VAT number, the customer, a number from a sequence that never repeats, the date, each line with its VAT rate, the tax by rate and the amount in words. Your accountant can confirm what your business must show.
How much does SimpleERP cost in the Netherlands?
Every module is free for 7 days with no card. After that Premium is €45 per user per month (€540 per user per year), the fixed equivalent of USD 50, counted on the people who sign in. See pricing.
Does SimpleERP file my VAT returns?
No. It keeps the records and gives you a tax summary by rate and the sales and purchase registers, all exportable to CSV, for whoever files your returns.
I use the small businesses scheme (KOR). Can I still use SimpleERP?
Yes. Answer No to "VAT registered?" at setup and choose the Exempt rate on your products, so invoices carry no VAT. If you leave the scheme later, add your btw-id in Settings and switch the products to 21% or 9%.
Can I send e-invoices or file my VAT return from SimpleERP?
No. SimpleERP produces PDF invoices and gives you the VAT summary by rate and the sales and purchase registers for the return, which you or your accountant file with the Tax Administration.
Where is my data stored?
In a PostgreSQL database on the hosted service, where row-level security keeps each business to its own rows. Ask us where the service is hosted and how it is backed up, and export your reports to CSV whenever you like.
