Multi-user accounting software: why one licence on one PC stops working
When the accountant, two salespeople and the owner all need the books on the same afternoon, a single licence on a single computer turns into a queue.

In short
Multi-user accounting software lets several people work in the same books at once, each with access limited to their job. In SimpleERP, every member logs in from a browser or phone with one of seven ready-made roles, and every change is recorded.
What is multi-user accounting software?
Multi-user accounting software lets more than one person record and read transactions in the same set of books at the same time, without overwriting each other. Each person logs in as themselves, sees only what their job needs, and leaves a record of what they did.
That last part matters as much as the first. Two people sharing one login is not multi-user. It is one user with two pairs of hands, and when a number is wrong nobody can tell who changed it.
Why does one licence on one PC stop working?
A single-user setup stops working the day two people need the books in the same hour. Until then it is fine: one accountant, one computer, entries made at the end of the day from paper and WhatsApp messages.
Growth breaks it in a predictable order. A second salesperson joins and has to wait to raise an invoice. The owner wants today's receivables while travelling and has to phone the office. HR keeps attendance in a separate spreadsheet because the accounts PC is busy. At month end the accountant works late because everyone else used the machine during the day.
- Waiting: billing, payments and stock entries queue behind whoever is at the keyboard.
- Re-typing: work done away from the PC is written down, then entered again later, with errors.
- No visibility: the owner sees the business only when someone sends a screenshot.
- Shared passwords: to save time, people use one login, and the audit trail stops meaning anything.
What are the three ways to give more people access?
There are three common setups, and they differ in who can work at once, from where, and at what extra cost. Desktop accounting software is typically licensed per machine; remote or cloud access usually costs extra, either as additional user licences, a hosting fee, or both.
| Single-user desktop | Desktop plus remote access or hosting | Cloud software with roles | |
|---|---|---|---|
| Who can work at once | One person | One session per licensed seat | Every member, at the same time |
| Where they work from | The office PC | Any computer that can connect to the PC or host | Any browser, including a phone |
| Extra cost to add a person | Another licence and another PC | Another seat, plus the hosting or remote tool | Another member on the subscription |
| Where the data lives | On that PC and its backups | On the PC or the hosting provider | On the provider's servers |
| What happens when the PC dies | Restore from the last backup | Depends on the host and backup | Log in from another device |
| Who did what | Often one shared login | Per user if seats are set up properly | Per member, with history |
Remote access is a reasonable bridge. It keeps the desktop software you know and lets an accountant work from home. But it still treats the books as a file on one machine, so each extra person adds a seat, a connection to look after, and a backup question.
What should multi-user mean for a 10 person firm?
For a 10 person firm, multi-user means everyone who creates or needs a number gets their own login, at the level their job needs, from wherever they work. Take Lakshmi Steel Furnitures, the fictional Coimbatore business used across these guides.
| Person | What they do | Where | Access they need |
|---|---|---|---|
| Owner (Lakshmi) | Checks sales, receivables and cash; approves | Phone, often away from the office | Everything, approve rights |
| Accountant (Senthil) | Bills, payments, journals, GST registers, month end | Office desktop, sometimes from home | Accounts and reports, approve postings |
| Salesperson 1 (Karthik) | Quotes and invoices to dealers | Showroom and customer sites | Customers, quotes, invoices |
| Salesperson 2 (Divya) | Invoices for the Ukkadam store | Store counter | Customers, quotes, invoices |
| Store and purchase (Murugan) | Supplier bills, stock receipts, transfers | Main godown | Suppliers, bills, stock |
| HR (Priya) | Attendance, leave, payroll | Office | Employees and payroll only |
| Four workers | Their own leave and payslips | Phone | Their own records only |
Notice what a single PC cannot do here. Karthik and Divya invoice at the same hour. Lakshmi reads the numbers from her phone. The workers should never see the ledger, and HR should not see sales margins. Multi-user is as much about keeping people out of what they do not need as letting them in.
How much does waiting for the accounts PC cost?
Waiting costs the salary hours spent in the queue plus the hours spent re-entering what was written down elsewhere. A rough monthly figure is easy to build for your own firm.
| Example item | Hours a month | Cost per hour | Cost a month |
|---|---|---|---|
| Two salespeople waiting to invoice | 20 | ₹150 | ₹3,000 |
| Accountant re-entering paper and WhatsApp entries | 16 | ₹250 | ₹4,000 |
| Accountant overtime at month end | 12 | ₹250 | ₹3,000 |
| HR copying attendance into the payroll sheet | 8 | ₹200 | ₹1,600 |
| Total | 56 | ₹11,600 |
Errors from re-typing are not in that table, and they are often the bigger cost: an invoice entered twice, a payment entered against the wrong customer, stock that never matches the count.
How do roles and permission levels work?
A role is a named set of permissions given to a person, so you decide access once per job rather than once per person. Within each area of the software, a permission level says how far that role can go.
- View: can open and read records and reports, but not change them.
- Manage: can create and edit drafts, such as a quote or an invoice not yet posted.
- Approve: can post documents to the books, which is the step that writes the ledger, stock and GST.
The split between Manage and Approve is the control a small firm usually lacks. A salesperson can prepare an invoice; the accountant or owner posts it. Nobody needs to be told not to touch something, because they cannot.
SimpleERP comes with seven ready-made roles: Owner, Admin, Accountant, Sales, Purchase and Inventory, HR Manager and Employee self-service. If a job does not fit one, duplicate the nearest role and change its permissions. You can see how they are set up on the team roles and settings page.
How do you find out who changed an entry?
You find out from the audit history, which records who did what and when on every document. This only works if each person has their own login, which is the main reason shared passwords defeat the purpose of multi-user software.
In SimpleERP, posted documents cannot be edited or deleted. A mistake is corrected by cancelling, which posts a reversal, so the original entry, the reversal and the people behind both stay on record. When the accountant asks why a customer balance moved, the answer is in the history, not in anyone's memory.
Illustration of the SimpleERP dashboard for Lakshmi Steel Furnitures: sales ₹18,42,600, net profit ₹4,12,800, ₹2,14,800 to collect, a sales versus purchases chart and top products.
How do you move a team onto multi-user software?
Move the team in a fixed order: decide roles on paper, invite people, then switch off the shared login. A week is enough for most 10 person firms.
List every person and what they touch
Use a table like the one above. Mark who prepares documents and who posts them.
Map each person to a role
Start with the ready-made roles. Create a custom role only when two people genuinely need different access.
Invite by phone number or email
Each person gets their own login. In SimpleERP, members sign in with their phone number.
Agree who approves
Usually the accountant posts day to day and the owner approves anything unusual.
Retire the shared password
Once everyone has logged in once, stop using any common login. The audit history only means something from this day.
Review access each quarter
Remove people who have left and check that roles still match jobs.
What should you check before choosing multi-user accounting software?
- Two people can post at the same moment without locking each other out
- Each person has their own login; nothing depends on a shared password
- Access is set by role, with a separate right to post or approve
- There is an audit history of who created, posted and cancelled each document
- Posted entries cannot be silently edited; corrections leave a trail
- The owner can read the numbers from a phone
- Adding a person does not need another PC, seat or hosting contract
- Employees can see their own payslips without seeing the accounts
How does SimpleERP handle multiple users?
SimpleERP has unlimited members on one organisation, so the whole team, from the owner to employees on self-service, can log in. Every member gets one of the seven ready-made roles or a custom one, at View, Manage or Approve level per area, and every posted document keeps its history.
If you are moving from desktop software or spreadsheets, start with the switching guide or see how SimpleERP compares on the Tally comparison page. Costs are on the pricing page.
FAQ
Questions, answered
Can two people use accounting software at the same time?
Yes, if the software is built for it. Cloud software lets every member work at once from their own login. Desktop software usually allows one person per licensed seat, and adding remote access or hosting adds cost and setup. In SimpleERP, any number of members can work at the same moment.
Is sharing one login with my staff a problem?
Yes. With one shared login the software cannot tell people apart, so the audit history shows the same name on every entry. You also cannot limit what each person sees. Give each person their own login and a role that fits their job.
How many users does SimpleERP allow?
SimpleERP allows unlimited members in an organisation. Each member is invited by phone number or email and given a role. The cost of each user is shown on the pricing page, with a 7-day free trial to start.
What is the difference between Manage and Approve permissions?
Manage lets a person create and edit drafts such as quotes and invoices. Approve lets them post, which writes the ledger, stock and GST. Splitting the two means a salesperson can prepare an invoice while the accountant or owner decides when it goes into the books.
Can employees see their payslips without seeing the accounts?
Yes. In SimpleERP the Employee self-service role is one of the seven ready-made roles, meant for staff who only need their own records. Because access is set by role, you can invite every worker without opening the ledger, customers or reports to them.
