Tally to cloud ERP migration checklist: what to move and in what order
Most Tally migrations go wrong in the order of work, not in the data: balances entered before masters, or go live before anyone has checked a single total.
Updated · 9 min read
In short
Move masters first, then balances as of the cut-over date, then dry run and go live. In SimpleERP, one Tally Masters XML file brings in customers, suppliers, accounts, products with opening stock, balances and open bills, checked before anything is written.
What does a Tally migration checklist need to cover?
A Tally migration checklist covers five phases in a fixed order: prepare, masters, balances, dry run and go live. Each phase depends on the one before it. You cannot enter a customer's opening balance until the customer exists, and you cannot check the balances until all of them are in.
The checklist below has 22 items. Each one is a single line with the person who owns it: the owner, the accountant (in house or your CA's team) or each salesperson. A business of 5 to 30 people can usually get through it in two to three weeks of part-time work, with a two-week dry run in the middle.
What you move is small on purpose. You bring across masters, balances as of one date, each party's open balance, and stock with its value. You do not re-enter years of vouchers. Old entries stay in Tally as the archive, and your accountant can still open them there.
What should you export from Tally before you start?
Export the Masters XML file for the import, and five reports from Tally as of the cut-over date to check against. Keep them in one folder that the owner and the accountant can both see.
| Export from Tally | What it gives you | Where it goes in SimpleERP |
|---|---|---|
| List of ledgers | Customers, suppliers, bank and loan accounts | Customers, suppliers and accounts, read from the Masters XML export |
| List of stock items | Product names, units, HSN codes | Products, from the same Masters XML file |
| Closing stock with quantity and value | What is on the shelf and what it cost | Opening stock per warehouse, from the same file |
| Outstanding bills (receivable and payable) | Every unpaid invoice and bill, per party | Open invoices and bills, one per bill, from bill-wise dues |
| Trial balance | Every account's balance on the cut-over date | Opening balances, per account, from the same file |
Take the trial balance after the accountant has finished the last month in Tally: bank reconciled, depreciation posted, stock valued. A trial balance taken before those entries will not match the books your CA signs.
What does SimpleERP import, and what stays in Tally?
In SimpleERP, Settings → Import data reads a Tally Prime Masters XML export (Alt+E, Masters, XML). It checks every row before anything is written, lists each problem with what to fix, and any import can be undone while nothing has been built on it. See import from Tally Prime.
- Masters: accounts, customers and suppliers with GSTIN, address and credit days, and products with HSN, GST rate and opening stock per warehouse.
- Balances: each ledger's opening balance, dated the day before the cut-over, with the balancing line to Opening Balance Equity.
- Open bills: each unpaid invoice and bill from Tally's bill-wise dues, with its own number, date and pending amount.
- Invites: each member is invited by phone or email and picks a ready-made role.
What is the checklist, phase by phase?
Work through the phases in order. Tick an item only when the person who owns it says it is done, not when it has been started.
Phase 1: prepare
- Owner: pick the cut-over date, the first day of a month
- Owner: name one person who signs off each phase
- Accountant: finish the last month in Tally, including bank reconciliation
- Accountant: export the five reports as of the cut-over date
- Each salesperson: list the customers they actually billed in the last 12 months
Phase 2: masters
- Owner: set up the organisation, GSTIN, warehouses and invoice series
- Accountant: match each Tally ledger to an account in the seeded chart of accounts
- Accountant: clean the stock item list, merge duplicates and fill HSN codes
- Accountant: export Masters as XML from Tally and import accounts, then customers, suppliers and products with opening stock
- Each salesperson: check their customers' GSTIN, credit days and credit limit after the import
Phase 3: balances
- Accountant: import the opening balances of cash, bank, loan and other accounts
- Accountant: import open invoices, one per unpaid customer bill
- Accountant: import open supplier bills, one per unpaid bill
- Accountant: check that stock value matches the Inventory account balance
- Accountant: compare the opening trial balance with the Tally export, then lock the day before cut-over
Phase 4: dry run
- Each salesperson: raise every real invoice in both systems for two weeks
- Accountant: compare daily sales, receipts and stock totals between the two
- Owner: check the receivables ageing against what salespeople expect to collect
Phase 5: go live
- Owner: stop new entries in Tally and keep it read only as the archive
- Accountant: give the CA the cut-over trial balance and both GST registers for the split month
- Owner: invite the rest of the team and confirm each role
- Accountant: move the lock date forward once the first month is closed

How does a real cut-over look? Lakshmi Steel Furnitures on 1 October
Lakshmi Steel Furnitures, the fictional Coimbatore business used across this site, moved from Tally on 1 October 2026. Its accountant took the trial balance as of 30 September, after the September bank reconciliation, and listed three open customer invoices.
| Customer | Tally invoice | Date | Open amount |
|---|---|---|---|
| Sri Murugan Traders | LSF/0198 | 8 August 2026 | ₹64,900 |
| Ravi Stores | LSF/0212 | 2 September 2026 | ₹1,17,760 |
| Kovai Office Systems | LSF/0219 | 15 September 2026 | ₹48,340 |
| Total receivable | ₹2,31,000 |
Entering ₹2,31,000 as one figure against Sundry Debtors would balance the books, but nobody could tell who owes what. Entered per customer, Ravi Stores opens at ₹1,17,760, and when it pays on 10 October the receipt clears that balance. SimpleERP keeps one opening figure per party, so the Tally list stays the record of each invoice date.
At the end of phase 3, the accountant compared five totals. Every difference had to be zero before the dry run started.
| Check | Tally as of 30 September | SimpleERP as of 1 October | Difference |
|---|---|---|---|
| Closing stock value | ₹2,19,000 | ₹2,19,000 | ₹0 |
| Customer outstanding | ₹2,31,000 | ₹2,31,000 | ₹0 |
| Supplier outstanding | ₹1,84,700 | ₹1,84,700 | ₹0 |
| Bank balance | ₹3,86,200 | ₹3,86,200 | ₹0 |
| Trial balance total (debit = credit) | ₹14,78,700 | ₹14,78,700 | ₹0 |
Supplier outstanding was two bills: ₹1,48,500 to Tamil Nadu Steels and ₹36,200 to Coimbatore Paint House, ₹1,84,700 in all. The first stock check failed by ₹3,400 because 34 racks had been imported at ₹2,900 instead of ₹3,000. The accountant cancelled that opening stock adjustment, which reverses it, and entered the racks again at the right cost. The second check matched.

Why run both systems in parallel for two weeks?
A two-week dry run finds the mistakes that a one-time check cannot: a product with the wrong tax rate, a customer in the wrong state, a salesperson who does not know where the print button is. Two weeks covers enough real invoices to see most of them.
Every day
Each salesperson raises each invoice in both systems. The accountant compares the day's sales total and the stock of the five fastest-moving products.
End of week one
The owner reads the dashboard and the ageing on the phone and lists anything that looks wrong. Fix masters, not totals.
End of week two
If the totals have matched for five working days in a row, set the go-live date. If not, run another week.
Double entry for two weeks is real work. It is also the cheapest insurance you will buy in the whole move, because every error caught here is one your CA does not find in March.
What does your CA need on the go-live day?
Your CA needs the cut-over trial balance from Tally and, for the month you switch, the sales and purchase registers from both systems. Part of that month's GST data lives in each, and the return is prepared from the two together.
How does SimpleERP help with each phase?
SimpleERP is built so that the move is mostly checking, not typing. The import reads Tally's Masters XML, shows every problem before anything is written, posts opening balances with the balancing line to Opening Balance Equity, and can be undone if a file was wrong. The stock screen shows total stock value beside the Inventory account balance and their difference, which is the check in phase 3.
After go live, every invoice posts the journal, the stock issue, the receivable and GST in one step, and posted documents cannot be edited, only cancelled with a reversal. See how the move works end to end on moving from Tally or Excel, and read the opening balances worked example before phase 3.
FAQ
Questions, answered
What data should I export from Tally before migrating?
Export the Masters XML file for the import, and five reports as of the cut-over date to check it against: the list of ledgers, the list of stock items, closing stock with quantity and value, outstanding bills for customers and suppliers, and the trial balance. Take them after the last month is closed in Tally, so they match the books your CA signs.
Can SimpleERP read my customer and supplier list from a Tally file?
Yes. Export Masters from Tally Prime as XML and upload the file in Settings → Import data. SimpleERP reads customers and suppliers from Sundry Debtors and Sundry Creditors with GSTIN, address, credit days, opening balance and bill-wise dues. Vouchers are not imported.
Do I need to move all my old Tally vouchers?
No. You move balances as of one date, open invoices and bills, and stock with its value. Old vouchers stay in Tally as the archive. Keep Tally installed and read only, so your accountant can open past entries during audits or queries.
How long does a Tally to cloud ERP migration take?
For a business of 5 to 30 people, plan two to three weeks of part-time work plus a two-week dry run. The longest steps are usually cleaning the stock item list and entering customers and suppliers, not the import itself.
Why enter opening balances per customer instead of one total?
A single total balances the books but cannot say who owes what. Entered per party, each customer's statement starts from the right balance and a payment clears the right account. SimpleERP takes one opening figure per party, so keep Tally's outstanding bills list for the original invoice dates.
