Guide · Switching from Tally and Excel

Eight signs your business has outgrown Tally and Excel

Tally on one PC and a few Excel sheets work well for a small team. They stop working quietly, one wasted hour at a time, as the business grows.

In short

You have outgrown Tally and Excel when people queue for one PC, stock and balances need phone calls to confirm, and month end takes days. SimpleERP puts billing, stock, payments, GST registers and payroll in one system everyone can use at once.

How do you know your business has outgrown Tally and Excel?

You have outgrown Tally and Excel when the tools make people wait, copy numbers by hand or call each other to find out what is true. None of these is a crisis on its own. Together they cost real hours and real rupees every month.

This guide walks through eight signs at Lakshmi Steel Furnitures, the fictional Coimbatore business used across these guides. It has 10 people, a main godown, a store at Ukkadam, two salespeople and an accountant who comes in at month end. Every cost below is an example, worked at ₹250 an hour of staff time. Put your own numbers in.

Sign 1: a second person waits for the PC to do their work

If billing stops whenever the accountant sits down at the Tally PC, the software has become the bottleneck. A single-user licence on one machine means one person enters data at a time.

  • Symptom: the salesperson writes invoices on paper or in Excel and types them in later. The accountant works evenings to get a turn.
  • Example cost: 20 hours a month of waiting and retyping, about ₹5,000.
  • Fix: a system where several people log in at once, each with a role that limits what they can do.

Sign 2: the stock count never matches the register

When the physical count and the Excel stock sheet disagree every month, the problem is the process, not the counting. Stock is a separate sheet that someone updates after the sale, if they remember.

  • Symptom: a customer is promised 10 racks that are not there. Nobody can say whether the shortfall is theft, a missed entry or a wrong count.
  • Example cost: 10 hours of recounting and chasing, ₹2,500, plus ₹8,400 of shortage written off without a reason.
  • Fix: stock that moves only when a document posts. The invoice takes the goods out, the supplier bill brings them in, and any correction is an adjustment with a reason.

Sign 3: "how much does he owe" needs a phone call

If the salesperson must call the office to learn a customer's balance, collections slow down. Excel tracks payments against the party, not against the invoice, so nobody trusts the outstanding figure.

  • Symptom: a customer says he paid the March invoice. The office cannot see which invoice his ₹50,000 cleared.
  • Example cost: 8 hours of calls and reconciling, about ₹2,000, before counting any payment that arrives late.
  • Fix: payments allocated to invoices, an ageing report by party and a statement of account anyone with access can open on a phone.

Sign 4: GST return preparation takes days, not hours

When the accountant spends the first week of every month rebuilding sales and purchase registers, the source data is in too many places. Invoices raised in Excel, bills entered late and HSN codes typed by hand all need checking before anything is filed.

  • Symptom: the HSN summary is built by hand, and the purchase register never quite agrees with what suppliers uploaded.
  • Example cost: 16 hours of collation each month, about ₹4,000.
  • Fix: GST worked out on the invoice itself, HSN or SAC on every line, and registers that come straight from posted documents.

Sign 5: the backup lives on a pen drive in a drawer

If the only copy of your books is one PC and a pen drive, a dead hard disk is a business risk. Many small businesses only find out how old the last backup was on the day they need it.

  • Symptom: someone copies the Tally data folder on Saturdays, when they remember. Excel files sit on two laptops in two versions.
  • Example cost: 2 hours a month of copying, about ₹500. The real cost is the week of re-entry after a failure.
  • Fix: data that lives on a server rather than one office PC, so a broken machine means logging in from another one.

Sign 6: godown and branch numbers arrive by WhatsApp

When the store manager sends a photo of a notebook page every evening, your second location is not really in your books. Someone at the main office types it in, late and with mistakes.

  • Symptom: 6 racks moved to the Ukkadam store on Monday are still in the main godown on paper on Friday.
  • Example cost: 6 hours a month of retyping and correcting, about ₹1,500.
  • Fix: one stock record with quantities per warehouse, and transfers between warehouses entered by the person who moves the goods.

Sign 7: payroll is a separate spreadsheet nobody else may open

If salaries are worked out in a private Excel file and then posted to Tally as one lump journal, payroll is disconnected from attendance and from the books. Every change in leave or overtime is copied by hand.

  • Symptom: attendance is on a register, leave is on WhatsApp and the salary sheet has formulas only one person understands.
  • Example cost: 6 hours a month of reconciling, about ₹1,500.
  • Fix: attendance, leave and payroll in the same system as the accounts, so a payroll run posts its own journal.

Sign 8: the owner cannot see today's position from a phone

When the owner must call the accountant to know cash, receivables or stock value, decisions wait for office hours. The numbers exist, but only on one screen in one room.

  • Symptom: a supplier asks for payment on a Sunday, and the owner cannot check the bank balance or what customers owe.
  • Example cost: 10 hours a month of the owner's and accountant's time on update calls, about ₹2,500.
  • Fix: reports that open in a browser on a phone, read only for the owner if that is all they need.

What do the eight signs cost together in a month?

Added up, the small delays at Lakshmi Steel come to about 78 hours and ₹27,900 a month in this example. Your figures will differ, but the pattern is common.

Compare that total with the price of a cloud system for the people who actually need to log in. If the cost of staying is the larger number, the case for switching is already made.

Is it time to switch? Check your business against the eight signs

Tick each line that is true for your business today. Three or more ticks is a good reason to plan a move; five or more means you are already paying for staying.

  • Two or more people regularly wait to use the accounting PC
  • The physical stock count differs from the register most months
  • Salespeople call the office to learn a customer's balance
  • GST return preparation takes more than two working days
  • The only backup is a pen drive or a second copy on a laptop
  • A godown or branch sends its numbers by WhatsApp or on paper
  • Payroll is worked out in a spreadsheet outside the books
  • The owner cannot see cash, receivables and stock from a phone

How does SimpleERP address each sign?

SimpleERP is a web app for Indian small businesses where posting a document does all the follow-on work. An invoice writes the journal, the cost of goods sold, the stock issue, the receivable and GST in one step. Posted documents cannot be edited; a cancellation reverses them, and every change is in the audit history.

  • Many users at once: unlimited members with seven ready-made roles, plus custom roles, at View, Manage or Approve level. Invite by phone or email.
  • Stock: quantities per warehouse at weighted average cost, transfers between warehouses and count-mode adjustments with a reason.
  • Receivables: payments allocated to invoices, ageing by party and a statement of account you can print or share.
  • GST: CGST and SGST or IGST from the place of supply, HSN on every line, sales and purchase registers and the HSN summary.
  • Payroll: attendance, leave and payroll runs that post to the books.
  • The owner's view: trial balance, profit and loss, balance sheet and stock value on a phone browser as narrow as 360 px.

FAQ

Questions, answered

How do I know if my business has outgrown Tally?

Look for people waiting to use one PC, stock and customer balances that need a phone call to confirm, and GST return preparation that takes days. If three or more of the eight signs in this guide apply, the cost of staying is probably higher than the cost of switching.

Can I keep using Tally for old years after switching?

Yes. Most businesses move masters, opening balances, open invoices and stock to the new system and leave old vouchers in Tally as the archive. Your accountant can still open past years there when needed.

Is Excel good enough for stock management?

Excel works for a handful of products and one location. It struggles once sales are entered by several people, goods move between godowns and cost changes with each purchase, because nothing links the sheet to the invoice that moved the stock.

Does a cloud ERP replace my accountant?

No. A cloud ERP removes retyping and gives your accountant clean registers and reports to work from. Your accountant still reviews the books, advises on tax and files GST returns. In SimpleERP the accountant gets their own login with an Accountant role.

How long does it take to move off Tally and Excel?

A small business can usually move in a few weeks: set up masters, enter opening balances as of the cut-over date, run both systems side by side for about two weeks, then go live on the first of a month.
