Accounting software for furniture businesses

Every invoice to a showroom, every timber bill and every advance from a custom-order buyer lands in the ledger as it happens, so month end is a review and not a rebuild.

In short

SimpleERP is accounting software for furniture makers and showrooms in India. Invoices, timber bills, buyer advances, payroll and depreciation on planers and CNC routers post themselves to one double-entry ledger, ready for a trial balance on any date.

An accounting day at Marwar Sheesham Works

The accountant at Marwar Sheesham Works works three days a week. She has to know which Delhi showroom has not paid since Diwali, how much of the advance money from custom orders is still owed back as furniture, and whether the new CNC router bought in June is being depreciated.

In the old setup she rebuilt all of that from the bill book and the bank passbook each month. Now the invoice for a dining table under HSN 9403, the timber depot's bill for sheesham and mango wood by the cft, the PU polish and hinges bought for the week and the carpenter payroll run each write their own journal, and her days go on checking.

Which ledger accounts does a furniture unit use most?

The chart of accounts is seeded at sign-up. A furniture maker mostly lives in a handful of accounts, and the month-end checks follow from them.

  • Customer advances stay on the buyer's account until allocated to an invoice.
  • Inventory carries timber, hardware and finished pieces at average cost.
  • Fixed assets such as a planer, a thicknesser or a CNC router depreciate each month.

Do I need to post entries for every sale and purchase?

No. When the dispatch clerk posts an invoice for a dining set, SimpleERP writes the sale, the IGST, the cost of the furniture and the drop in stock in one balanced journal. A timber bill does the reverse.

  • Click any ledger line to open the invoice or bill behind it.
  • Manual journals only for what no document covers, such as a machinery loan EMI.
  • The database refuses an entry whose debits and credits do not match.

One invoice writes the sale, the tax, the cost and the stock movement together.

How do I close a month without anyone changing it later?

Reconcile the bank, look at the trial balance, then set the lock date. From then on the database refuses any posting dated in that month, so a late correction to an August showroom bill goes into September as a credit note.

  • Profit and loss with gross margin, so you see what a month of furniture really earned.
  • Balance sheet that agrees with the P&L to the paisa.
  • Every statement prints on A4 or exports to CSV for your CA.

Honest limits

What SimpleERP does not do yet

  • No bank feeds: bank entries are recorded and reconciled by hand
  • No multi-currency; every document is in rupees
  • GST return filing and e-invoicing are not done inside the product
  • No cost centres, so the showroom and the factory are not split into two profit figures inside one set of books

FAQ

Questions, answered

A showroom pays us late and in round amounts. Will the dues still be clear?

Yes. A receipt of ₹1,50,000 can settle the oldest invoices first or the ones you pick, and any part payment stays visible on the invoice. The customer statement shows each bill, each receipt and an ageing summary you can send to the showroom owner.

How do I record depreciation on our CNC router and planer?

Add them in the fixed assets register with cost, date and method. Depreciation runs post a journal for each period, and the asset's book value falls in the balance sheet. You do not post the depreciation entry by hand.

Can my CA work in the books from her own office?

Yes. Invite her with the Accountant role. She sees the ledger, journals and reports in her browser, and the audit history shows any change she makes.

We are switching in the middle of the year. Do we re-enter everything from April?

No. Pick a start date, ideally the first of a month, and enter opening balances for accounts, showrooms and suppliers through the opening balance wizard. Timber and finished stock come in with a stock adjustment at their value. Earlier months stay in your old books.
