Payroll software for garment factories
A hundred tailors, checkers and ironing staff, half of them new each season. Mark the floor in one tap, fix the absentees and let the run build the payslips.
In short
SimpleERP is payroll software for garment factories in India. Tailors, checkers, ironing and packing staff get salary structures, the daily attendance sheet marks the floor in one tap, and the monthly run handles PF, PT and advance recovery.

A payroll day at Noyyal Knit Fashions
Noyyal Knit Fashions turns out about 30,000 T-shirts a month with 96 people on the floor: tailors on single-needle, overlock and flatlock machines, checkers, ironing staff and packers, plus a cutting master and two helpers who lay the knitted fabric. Many come from other districts and states, and a fifth of them change between seasons.
The supervisor marks attendance in a register and the office types it into a salary sheet at month end. Before Pongal and Deepavali the advances run into lakhs, and recovering them depends on someone remembering to deduct the right amount from the right person.
SimpleERP replaces the register with a daily sheet where everyone is marked present at once and only the exceptions are changed. The monthly run reads paid days from it and recovers each advance, and workers see their payslips on their phones.
How are tailors, checkers and packers paid?
Each worker gets a monthly salary structure from components, whatever the dozen or pieces they finish. The structure differs by role, but the run treats them the same way: paid days from attendance, then deductions, then net pay.
- ESI is common on the garment floor; add it as a component, since it is not preset.
- PF and PT are seeded and print on every payslip.
- A new worker's structure is copied from a colleague in the same role.
| Role | Components | Shift | Advances |
|---|---|---|---|
| Tailors (single needle, overlock, flatlock) | Basic, HRA, attendance allowance, PF, ESI as a component, PT | General shift, 8:30 to 5:30 | Festival advance of ₹8,000, recovered over 4 months |
| Checkers and ironing staff | Basic, HRA, PF, ESI component, PT | General shift | Pongal advance, recovered across 4 payslips |
| Cutting master and helpers | Basic, HRA, cutting allowance, PF, PT | Starts an hour early to lay the next batch | Rarely |
| Packers filling polybags and cartons | Basic, HRA, ESI component, PT | General shift, a second shift in peak months | Small loans cut from the following month |
Can the supervisor mark a hundred people quickly?
The daily sheet lists everyone with present, absent, half day and leave controls. Mark all present in one tap, change the ten who did not come, and the sheet is done. Holidays and weekly offs are already filled in and locked.
- Phone check-in for workers who use employee self-service, flagged late after the grace period.
- Half days count as half a paid day in the run.
- Leave applied on the phone shows its balance before the supervisor approves it.

How are festival advances recovered without a ledger book?
Record each advance with the amount to recover each month. The payroll run deducts it until the balance is nil, and the payslip shows what remains, so a worker who leaves mid-season has a clear figure to settle.
- Bonus before Deepavali is added in the review step for that month.
- Approve and pay posts salary expense, PF and ESI payable and the bank payment.
- Payroll register exports to CSV for the PF and ESI consultant.

Honest limits
What SimpleERP does not do yet
- Income tax (TDS) is not computed; you set the deduction per employee
- No preset ESI or gratuity; add them as components where they apply
- No biometric device integration: attendance is marked on the phone or entered by HR
- No piece-rate pay: tailors paid per piece stitched need a monthly salary, with any output incentive typed in at review.
- No weekly wage runs: payroll is monthly.

FAQ
Questions, answered
Most of my tailors are paid per piece. Can SimpleERP do piece rates?
No. SimpleERP does not calculate piece-rate pay, so a tailor's T-shirts stitched are not counted into wages. If you pay per piece today, you can keep a fixed salary and add the month's incentive as an amount in the review step, but the piece count itself is not tracked.
We pay some workers weekly. Is that possible?
No. The payroll run is monthly. Weekly cash given to workers can be recorded as an advance and recovered from the monthly payslip, which many units already do in their registers.
Can workers see their payslip without asking the office?
Yes. Each worker signs in with a phone number to employee self-service and sees their payslips, leave balance and attendance. They can apply for leave and check in there as well.
Does it handle ESI for the floor?
ESI is not preset. Add it as a component with the employee and employer amounts, and assign it to the structures of workers it applies to. The run then deducts it on each payslip and posts the payable to the books.
