Inventory software for garment manufacturers

Fabric comes in by the kilo, trims by the thousand and garments go out by the dozen. Keep each in its own unit and godown, and know what the whole floor holds.

In short

SimpleERP is inventory software for garment manufacturers and textile units in India. Yarn, knitted fabric, trims and finished garments are kept per godown at weighted average cost, with transfers, adjustments and reorder levels for each.

An inventory day at Noyyal Knit Fashions

At Noyyal Knit Fashions the knitted fabric comes back from the dyeing and compacting units in rolls weighed in kilos, gets stacked in the fabric store, and moves to the cutting floor batch by batch. The store keeper writes the weight on a chalk board and in a register.

When a buyer adds 300 pieces to an order, the owner wants to know at once whether the navy fabric on hand covers it, and whether the main labels and polybags will last. Trims run out more often than fabric, and a batch can sit unpacked for two days waiting for size labels.

SimpleERP keeps every fabric colour, trim and garment size as a product with a unit and a godown. A transfer moves fabric to the cutting floor, a work order turns it into finished pieces, and the low-stock list shows which trims to buy before the packing table stops.

How should fabric, trims and garments be set up?

Pick the unit you buy or sell each item in and keep it per product. Tiruppur fabric is weighed, so knitted fabric goes in kg, while labels, buttons and polybags go in pieces and finished garments in pieces per size.

  • A product per colour of fabric, such as Single jersey 180 gsm navy, so shades do not mix in the count.
  • A product per size of each style, since there is no size grid.
  • Opening stock per godown comes in through the product CSV import.

How do I keep track of fabric lying at the dyeing unit?

Create a warehouse named for the dyer or compactor and transfer the grey fabric there when it leaves. When it comes back, transfer it to the fabric store, and post the dyer's bill as a purchase. The stock report then shows how many kilos sit outside today.

  • Transfers carry a date and a note with the dyer's delivery number.
  • Process loss at dyeing is posted as an adjustment with a reason, so the shortfall is on record.
  • Stock value by godown includes what is outside at its average cost.

Can I stop running out of labels and polybags?

Give each trim a reorder level based on a normal fortnight's packing. Anything below it shows on the low-stock list grouped by supplier, so one purchase order covers the label printer's items and another the polybag supplier's.

  • Purchase orders carry the delivery date and the receiving godown.
  • Supplier bills add trims at the billed price and update the average.
  • Debit notes return a wrong print run of labels and take it out of stock.

Honest limits

What SimpleERP does not do yet

  • No batch, lot, serial or expiry tracking, and no barcode scanning
  • Weighted average cost only; there is no FIFO
  • No automatic reorder suggestions: the reorder level shows what is low, you decide what to buy
  • No roll or dye-lot tracking: fabric is counted by product and godown only.
  • No size and colour matrix: each size or colour is its own product.

Getting started

Start with inventory

  1. Sign up with your phone

Name, phone number and a password. No card for the seven-day trial, and email is optional.

  2. Tell us about the business

Type your GSTIN and the state fills itself. Accounts, GST rates, units, roles and numbering are seeded for you.

  3. Add products and opening stock

Import yarn, fabric by colour, trims and each garment size from a CSV file with its unit and opening stock per godown.

  4. Post a bill and an invoice

Stock rises on the purchase bill and falls on the invoice, at weighted average cost, with nothing to count by hand.

FAQ

Questions, answered

Can I track fabric in kg and garments in pieces?

Yes. Every product has its own unit. Fabric is bought and transferred in kilos, and the bill of materials states how many kilos go into a batch of pieces, so the work order converts one into the other at actual cost.

Can I trace which dye lot a T-shirt came from?

No. There is no lot, roll or dye-lot tracking. If a buyer demands that every piece be traced to a dye lot, keep that record outside SimpleERP for now or create a product per lot, which most units find too heavy.

How do I count seconds and rejected pieces?

Keep a separate godown for seconds. Returned pieces from a credit note or rejects from the checking table are moved there, so first-quality stock stays clean and the seconds can be sold in lots at their own price.

How do I fix the count after a stock check?

Enter a stock adjustment to the counted quantity with a reason. The difference is valued at weighted average cost and posted to the books, and the adjustment stays in the audit history with the name of the person who made it.
