Inventory software for staffing and manpower companies
Know how many uniforms, ID cards, helmets and safety shoes are in the office store and at each site store before a new client asks for thirty more people on Monday.
In short
SimpleERP is inventory software for staffing and manpower companies that stock uniforms, ID cards, safety shoes and PPE for deployed workers. Stock moves on purchase bills, invoices, transfers and counts, at weighted average cost.

An inventory day at Sahyadri Workforce Services
Every new deployment at Sahyadri Workforce Services needs kit: two sets of uniforms, an ID card with a lanyard, and for warehouse loaders a helmet, reflective jacket and safety shoes. When a client adds thirty heads overnight, the store at the Pune office has to say yes by morning.
Some clients pay for the PPE on the monthly bill, others expect it free within the service charge. Uniforms also wear out and get replaced, so the store loses track of what it holds unless every issue is recorded somewhere.
How do I set up kit items and stores?
Add each item with a unit and a reorder level. If a large client keeps its own kit cupboard on site, add it as a second warehouse and move stock there with a transfer note signed by the site supervisor.
| Item | Unit | Reorder level | Store |
|---|---|---|---|
| Housekeeping uniform set | Set | 60 | Pune office |
| Loader T-shirt and trouser | Set | 80 | Pune office |
| Safety shoes | Pair | 40 | Pune office, Chakan site |
| Helmet and reflective jacket | Nos | 50 | Chakan site |
| PVC ID card with lanyard | Nos | 200 | Pune office |

How does kit leave the store?
Kit a client pays for goes on the client invoice as goods with an HSN code, and stock falls when the invoice posts. Kit given free with a deployment is written off through a stock count at month end, which records the difference at average cost.
- Purchase bills raise stock and the average cost of each item.
- Count mode shows the system figure beside what you counted.
- GST on billed kit follows the goods' own HSN rate. Rates change, so confirm the rate for your goods with your CA or the GST portal before you rely on it.
Will I know before uniforms run short?
The low-stock list shows every item under its reorder level, by store. You decide what to buy and raise the purchase order to your uniform supplier from there.
- Stock by store for the office and each site cupboard.
- Movement ledger for every item: bills, invoices, transfers and counts.
- Stock value at weighted average cost, ready for the balance sheet.

FAQ
Questions, answered
Can I see uniform stock at a client site separately?
Yes. Add the site as a warehouse, transfer kit to it, and stock on hand splits between the office store and the site.
A worker left without returning his uniform. Can I recover it?
SimpleERP does not track kit per worker. If your policy allows a recovery, add it as a one-off deduction on his final payslip.
Can I bill a client for safety shoes on the manpower invoice?
Yes. Add the shoes as a goods line with their HSN code beside the man-days lines; stock falls and the tax for each line follows its own rate.
We only stock ID cards and a few uniforms. Is inventory worth turning on?
If you buy kit in bulk, yes, because the stock value and the low-stock list come free with your purchase bills. If you buy as you go, record kit as an expense instead.
