Manpower and staffing
Accounting software for manpower and staffing agencies
See how much the clients owe, how much you owe workers and the government, and whether the TDS your clients deducted is waiting to be claimed, all from posted documents.
In short
SimpleERP is accounting software for manpower and staffing agencies. Client invoices, payroll runs and receipts post to one double-entry ledger, so receivables, wages payable, PF, GST and TDS receivable are always current.

An accounting day at Sahyadri Workforce Services
The accountant at Sahyadri Workforce Services closes the month around one question: how much money is stuck with clients while wages have already left the bank. In August the agency paid ₹22 lakh in wages and PF for a headcount of 310, spread over fourteen client sites, before collecting half of that month's billing.
On top of that, every client deducts TDS under 194C, two clients pay against old invoices without saying which, and the CA wants the GST on manpower supply to tie to the sales register before filing. None of it should mean re-entering what the billing and payroll desks already did.
Which accounts does a manpower agency watch each month?
Posting does the work: an invoice raises the client's balance and output GST, an approved payroll run books wage cost against wages payable and the statutory accounts, and a receipt clears what it settles.
| Event | Debit | Credit |
|---|---|---|
| Client invoice for man-days and service charge | Client (receivable) | Manpower supply income, output GST |
| Payroll approved | Wages, employer PF and ESI | Wages payable, PF payable, ESI payable |
| Wages paid from bank | Wages payable | Bank |
| Client pays net of TDS | Bank | Client |
| TDS deducted by client (journal) | TDS receivable | Client |
What should I check before the month is closed?
Run the trial balance and the GST summary, compare the sales register with what the billing desk sent, and set the lock date once your CA agrees, so nobody edits a filed month.
- Wages payable at nil after the bank payments are entered.
- PF and ESI payable matching the challans you paid outside SimpleERP.
- TDS receivable tallied with what clients show against your PAN.
- Receivables ageing reviewed client by client.

Can I see if the agency made money this month?
The P&L for any date range sets manpower supply income against wage cost, employer contributions and overheads. Reading margin for each deployment is a matter of comparing that client's invoices with its department in the wage register.
- P&L and balance sheet on any date, with no closing entries to post.
- Bank registers reconciled by ticking cleared lines.
- CSV export of any report for your CA.

FAQ
Questions, answered
How do I keep TDS deducted by clients from showing as unpaid?
Post a journal naming the client: debit TDS receivable, credit the client. The client's ledger clears, and the TDS receivable account holds the amount until you claim it in your return.
Can my CA work in the same books?
Yes. Invite your CA with the Accountant role. They see journals, registers, statements and the GST summary, and can export any report.
Do PF and ESI payments post themselves?
Payroll posts what you owe. When you pay the challan outside SimpleERP, record the bank payment against PF or ESI payable so the balance comes back to nil.
What stops someone changing last month's figures?
The lock date. Once set, no document or journal can be posted or changed on or before it, and posted documents are never edited, only reversed.
