Accounting software for textile and garment shops
See what the counters took in cash and UPI today, what is owed to Surat and Tiruppur after the season, and whether the school has paid for its uniforms, without a separate cash book.
In short
SimpleERP is accounting software for textile and garment shops in India. Counter bills, credit notes, supplier bills and payroll each post their own journal, so cash, bank, stock, GST and supplier dues are in one ledger on any date.

An accounting day at Awadh Dress House
Each night the cashier at Awadh Dress House counts the drawer, and the owner wants to know whether the cash, the UPI credits and the card slips add up to the day's bills, less what went back on exchanges.
Twice a year there is a bigger question. The season was bought on 90 days of credit from twelve suppliers in Surat, Tiruppur and Ludhiana, and by January the owner has to plan which of them gets paid first, while the school that took 300 uniform sets still owes half.
Which accounts does a clothing shop watch every month?
The chart of accounts is seeded at sign-up, and a garment shop spends most of its time in a few of them. Each has a check worth running before the month is locked.
- Cash and UPI land in the account the money was paid into, with a running balance.
- Sales returns from exchanges are visible apart from sales on the profit and loss.
- Input IGST on out-of-state supplier bills sits in its own account.
| Account | What posts there | Month-end check |
|---|---|---|
| Cash | Counter receipts, refunds, small expenses | Agrees with the drawer count at each shop |
| Bank | UPI and card receipts, supplier payments, salaries | Each UPI and card credit ticked off against the statement |
| Accounts payable | Bills from Surat, Tiruppur and Ludhiana suppliers | Supplier statements match; due dates planned |
| Accounts receivable | Bulk uniform and corporate orders | Ageing over 30 days followed up |
| Inventory | Every piece in both shops and the godown | Stock value per shop adds up to the ledger balance |
| GST output and input | Counter bills, credit notes, supplier bills | Registers checked against GSTR-1 and GSTR-2B |
Does every exchange need a journal entry?
No. A credit note for a returned shirt reverses the sale, the GST and the cost, and puts the piece back into stock in one balanced journal. The counter staff never touch a ledger, and the accountant sees the entry with a link to the note.
- Click a ledger line to open the bill, credit note or supplier bill behind it.
- Manual journals only for what no document covers, such as the shop's loan EMI.
- Shop rent and electricity go in as expenses with the receipt photo.

How do I plan what to pay suppliers after the season?
Supplier ageing shows each bill by how long it has been due. When the Surat supplier is paid ₹2,40,000 against bills of ₹3,10,000, the payment settles the oldest first or the ones you pick, and ₹70,000 stays open on the right bills.
- Supplier statement for each party to compare with theirs.
- Cheque or bank transfer recorded with the reference.
- Debit notes for short or damaged pieces reduce what is owed.
How do I stop anyone changing last month's books?
Reconcile the bank, look at the trial balance and set the lock date. After that the database refuses any posting dated in the locked month, so a late exchange on an October bill goes into November as a credit note.
- Profit and loss with gross margin, so a month of sales is judged after cost of goods.
- Branch on every document, so sales and GST reports filter by shop.
- Every report exports to CSV for the CA who prepares your returns.

What SimpleERP does not do yet
- No bank feeds: bank entries are recorded and reconciled by hand
- No multi-currency; every document is in rupees
- GST return filing and e-invoicing are not done inside the product
- No cost centres, so the profit and loss covers both shops together; sales and GST reports filter by shop
- No card terminal or UPI settlement import: receipts are recorded on the bill or the payment screen

FAQ
Questions, answered
Can I see each shop's sales separately?
Yes, in the sales register and GST reports, which filter by branch. The profit and loss and balance sheet cover the whole business, because both shops share one ledger.
We started mid-season. What do I do with stock already on the shelves?
Pick a start date, ideally the first of a month, and enter opening balances for accounts, suppliers and customers through the opening balance wizard. Bring pieces in through the product import with opening quantity and cost per size and shop.
Our CA files the returns. Can she work in the books directly?
Yes. Give her a login with the Accountant role. She opens the ledger, registers and reports in her own browser, and every change she makes shows in the audit history.
How do I record the money a customer leaves as a deposit for an altered suit?
Record it as a customer payment kept on account. When the suit is billed, apply the deposit to the bill, and the print shows only the balance to collect.
