Agri inputs and farm supplies
Stock software for agri input dealers and fertiliser godowns
Count bags by the godown they sit in, move them to the shop with a transfer, and see which seeds and pesticides are short a month before sowing.
In short
SimpleERP is stock software for agri input dealers in India. Fertiliser bags, seed packets and pesticide litres are counted by shop and godown, every purchase bill and invoice moves stock at weighted average cost, and reorder levels show what to order before the season.

A stock day at Bhoomi Agro Kendra
Bhoomi Agro Kendra keeps its fertiliser in a rented godown at the market yard and only a day's worth in the shop. When a lorry of 600 DAP bags arrives in early June, the hamali gang unloads into the godown, and every morning two tractor trips bring 60 or 80 bags to the shop.
Pesticides and seeds stay in the shop, on shelves sorted by crop. Chilli seed packets sell out in three weeks; a slow fungicide can sit for two seasons. The owner used to count the godown on a Sunday with a notebook and guess the rest.
In SimpleERP the godown and the shop are two warehouses. The supplier bill puts the 600 bags into the godown, each morning's tractor trip is a transfer, and the shop's invoices draw from the shop, so both counts are right at any hour.
How should an agri input dealer set units, godowns and reorder levels?
Seasonal inputs need a level set before the season and lowered after it; steady lines keep one level all year. Fertiliser often arrives by allotment from the company, so its level is a reminder to ask, not a promise of supply.
- Units such as kg, litre and piece are seeded; add bag, packet and bottle once.
- Categories by crop or by input type filter the stock list.
| Product family | Unit | Kept at | Reorder pattern |
|---|---|---|---|
| Urea, DAP, complex fertilisers | bags | Market yard godown, a day's stock in the shop | Level of 200 bags from May to August and October to December |
| Hybrid chilli and cotton seed | packets | Shop, cool shelf | Level set in May for kharif; dropped to nil after July |
| Paddy and pulse seed | bags, kg | Shop | Level of 40 bags before kharif and before rabi |
| Insecticides and fungicides | litres, ml bottles | Shop | Level of 20 litres per fast seller, all year |
| Weedicides | litres | Shop | Level of 10 litres from June to September |
| Sprayers and spares | pieces | Shop | Level of 5; one order before each season |
How do bags move between the godown and the shop?
With a transfer, one document per trip, from the godown warehouse to the shop warehouse. Nobody types a new quantity over the old one; the stock on hand is worked out from every bill, invoice, transfer and count, and the movement ledger shows which document did what.
- Transfer with date, quantities and both warehouses, kept as its own record.
- Movement ledger per product with a running quantity.
- Physical count after each season; torn or wet bags are written off with a reason and the loss posts to the books.

How do I order for kharif without overbuying?
In May, open the low-stock list with the season's levels in place. Pick the lines, and SimpleERP drafts purchase orders grouped by the company or distributor you last bought from. When each lorry arrives, convert the order into a supplier bill and receive the bags into the godown.
- Part deliveries: each order line shows ordered, billed and still to come.
- Supplier bill records input GST and adds the total to what you owe the company.
What is my stock worth at the end of the season?
Stock is counted per warehouse, and each product carries one weighted average cost across the business. If the shop bought 300 bags of a complex fertiliser at ₹1,280 and later 300 at ₹1,320, each bag on hand is valued at ₹1,300 until the next purchase changes it.
- Stock value by warehouse for the bank's stock statement at the season's close.
- Sales by product with margin, so you see which inputs pay for the godown rent.

Where stock comes from and goes to

Honest limits
What SimpleERP does not do yet
- No batch, lot, serial or expiry tracking, and no barcode scanning
- Weighted average cost only; there is no FIFO
- No automatic reorder suggestions: the reorder level shows what is low, you decide what to buy
- No batch and expiry for pesticides and seed lots; keep the register your dealer licence requires alongside
- No stock statement in the format the agriculture department asks for

FAQ
Questions, answered
Can I keep the godown stock separate from the shop?
Yes. Make the market yard godown and the shop two warehouses. Supplier bills receive into the godown, a transfer moves bags to the shop, and the stock list shows bags on hand in each place and in total.
Can it track pesticide expiry dates?
No. Stock is by product and warehouse, without batch or expiry. Some dealers make a separate product for a short-dated lot so the counter sells it first, and keep the batch register their licence asks for on paper.
Some bags burst in the godown. How do I write them off?
Run a physical count for that product in the godown and enter what is actually there. The difference is recorded with the reason you give, such as torn bags, and its value posts to the books so stock and the ledger agree.
Will it tell me what to order for rabi?
It shows you rather than deciding. Raise the reorder levels on rabi seeds and fertilisers in October, and every product at or below its level appears on the low-stock list, from which you draft purchase orders. It does not suggest quantities.
