A day in an agri input business
A farm supply shop sells all year, but it earns or loses the year in two short seasons.
Kharif sowing starts and the counter is full by seven. A farmer from the next village wants two bags of paddy seed, four bags of DAP and a litre of insecticide, and asks to pay after harvest. A trader buying for a group of growers wants a GST bill. A delivery from Sri Venkateswara Agro Agencies is unloading at the godown.
By October the owner has sold on credit to two hundred farmers, written in a notebook that only he can read. Which bags are still in the godown, what each farmer owes and which dues are now five months old are questions answered from memory.

GST billing
One invoice for seed, fertiliser and pesticide, each at its own rate
Each product carries its own HSN code and GST rate, so one invoice can mix nil-rated seed, fertiliser and pesticide and still show the right tax on every line. CGST and SGST or IGST is chosen from the place of supply, and the print carries an HSN-wise summary.
- Walk-in farmers go on one customer you name, such as Counter sale; regular buyers get their own account.
- Units per product: bags, kilograms, litres or pieces, with your own unit added once in settings.
- UPI QR on every A4 invoice, so a farmer can pay part on the spot.
- Returns of unopened bags become a credit note that puts stock back.

Payments and receivables
Seasonal credit you can follow until harvest
Every credit invoice stays open against the farmer until a payment is allocated to it, so the receivables ageing shows exactly who owes what and for how long. Part payments during the season reduce the balance without anyone typing it.
- Payment terms such as a 120-day harvest term, added once and set per customer.
- Credit limit per farmer, with a warning before a new invoice crosses it.
- Customer statement with opening balance, every bill and payment, and an ageing footer, ready to print.
- Reminder text with invoice numbers and the amount due, copied to share however you like.

Inventory
Stock by shop and godown, counted before the rush
Each shop and godown is a warehouse in SimpleERP, so bags on hand are known per location and the low-stock list shows what to reorder before sowing begins.
- Reorder level per product; anything at or below it shows on the low-stock list.
- Transfers move stock from the godown to the shop counter, one document per move.
- Physical counts after the season fix the numbers with a reason, and the difference posts to the books.
- Weighted average cost per product, so margin per invoice is visible.

Purchase
Order for the season from one list
Turn the low-stock list into purchase orders grouped by supplier, then convert each order into a supplier bill when the lorry arrives, receiving the stock into the godown it was unloaded at.
- Purchase orders to companies and distributors before kharif and rabi.
- Supplier bills with input GST captured, ready to check against GSTR-2B.
- Payables ageing and supplier statements, so dealer dues are paid on time.

Cash, bank and staff in the same books
Receipts post straight to the cash or bank account they were paid into, so the cash and bank registers show a running balance without a separate cash book, and staff attendance flows into the monthly payroll.

Honest limits
What SimpleERP does not do for agri input dealers yet
A dealer selling regulated inputs should weigh these before signing up.
- Batch or expiry tracking. Pesticide and seed batches and expiry dates are not tracked; stock is by product and warehouse. Keep the batch register your licence requires alongside.
- Licence-wise reporting for fertiliser, seed or insecticide licences, or stock returns to the agriculture department.
- Scheme or subsidy workflows, such as subsidised fertiliser sales or claims. Record the invoice at the price you charge.
- Crop or harvest-linked interest on overdue dues. Ageing shows the overdue days; interest is a manual entry.
- E-invoice (IRN) or e-way bill generation through the government APIs.

FAQ
Questions, answered
Which GST rate applies to seeds, fertiliser and pesticides?
Each product's rate follows its HSN code. As examples, seeds for sowing under HSN 1209 are often nil-rated, many fertilisers under HSN 3105 carry 5%, and pesticides under HSN 3808 commonly carry 18%. In SimpleERP you set the rate on each product and the invoice applies it line by line. Rates change, so confirm the rate for your goods with your CA or the GST portal before you rely on it.
Can it track pesticide batch numbers and expiry dates?
No. Stock is tracked by product and warehouse at weighted average cost, without batch or expiry. Some dealers create a separate product for a short-dated lot so it can be sold first, and keep the batch register their licence requires on paper.
How do I give credit to farmers until harvest?
Add a payment term with the days you usually allow, such as 120, and set it on the farmer's account. Credit invoices stay open, part payments reduce the balance, and the receivables ageing and customer statement show what is due and how old it is.
I have one shop and a godown with two staff. Is it too much?
No. Add the godown as a second warehouse and give the counter staff and the accountant their own login, each with a role that shows only their work.
Can I move from a notebook or Tally in the middle of a season?
Yes. Import products with opening stock from a CSV file, add each farmer with their opening balance, and start billing. Old invoices stay where they are; SimpleERP starts from the balances you bring in.
