A day in a mill
A mill lives on weight and margin: how many kilos came in, how many went out as product, and what each kilo cost.
The first tractor reaches the gate at seven. Murugesan has brought 4,200 kg of paddy, the weighbridge slip is stapled to a notebook page, and the rate was agreed on the phone last night. Each load adds a line to the purchase book and a promise to pay by Friday.
Inside, the huller runs all day, and bran and husk pile up in the corner. By evening Thirumalai Stores wants a truckload of rice, the accountant asks what this month's rice really cost, and nobody is sure how much paddy is left in the second godown.
SimpleERP turns the notebook into two documents that matter: a supplier bill that receives paddy into a named godown at the agreed rate per kg, and a work order for each milling run that consumes paddy and produces rice at the actual cost of the run.

Buy grain by weight and know what each farmer is owed
Every load of paddy, seed or grain becomes a supplier bill in kilograms at the agreed rate, so stock rises in the right godown and the farmer's balance is always correct.
- Farmers without a GSTIN are added as unregistered suppliers with a name and phone number.
- Weight from the slip. Type the net weight from the weighbridge slip on the bill line.
- Payments out settle one bill or several, in cash, bank transfer or UPI.
- Supplier statements show every load and payment.
Work orders
Cost every milling run, not just the month
A work order records one milling run: paddy consumed at weighted average cost, power and labour added as the run's additional cost, and rice received at the actual cost per kg. A work order produces one output product, so bran, husk or oil cake are recorded as a stock adjustment with a reason.
- Bill of materials per output, for example 1.55 kg of paddy for 1 kg of rice.
- Actual consumption entered at completion, so the real yield sets the cost.
- By-products go into stock through an adjustment with the reason Other and a note naming the run.

Kilos in every godown, valued the same way
Paddy, rice, bran and husk sit in one stock ledger per godown, valued at weighted average cost and changed only by posted documents.
- Kilograms with three decimals are seeded; add a bag or quintal unit in settings.
- Transfers move grain between godowns at cost, with a document for every move.
- Count mode adjustments fix stock after a physical check.
GST billing
Truckload invoices with the right GST on every line
A truckload invoice issues rice, flour or oil from the godown at average cost, applies CGST and SGST or IGST from the place of supply, and prints the HSN on every line with an HSN summary at the foot.
- Different rates on one invoice, for loose and packed goods, set per product.
- Credit limit warnings when a buyer's dues would cross the limit you set.
- Receivables ageing shows which traders are past 30, 60 or 90 days.
- Sales register to check GSTR-1 before your CA files it.

Pay mill hands and depreciate the machines
Attendance for the whole shift feeds the monthly payroll run, and the huller, expeller or chakki is a fixed asset whose depreciation posts every month without a spreadsheet.
- Salary structures with Basic, allowances, PF, PT and advances recovered through the payslip.

What SimpleERP does not do for mills yet
We would rather you know now than find out at harvest.
- Multiple outputs from one work order. Rice is the output; record bran, husk or oil cake as a stock adjustment with a reason.
- Weighbridge integration. Type the net weight from the slip on the supplier bill.
- Batch or lot tracking by crop, variety or arrival date. Stock is tracked by product and godown.
- Mandi commission, hamali or market fee handling. Record them as expenses or as extra lines on the bill.
- Automatic conversion between kilograms and bags. Each product has one unit.
- E-way bill generation or e-invoice (IRN) through the government APIs.

FAQ
Questions, answered
What GST rate applies to rice, flour and edible oil?
It depends on the HSN code and on whether the goods are loose or pre-packaged and labelled. For example, rice under HSN 1006 and wheat flour under HSN 1101 have been nil when sold loose and 5% when pre-packaged and labelled, and edible oils under chapter 15 have been 5%. SimpleERP applies the product's HSN and rate, with CGST and SGST or IGST from the place of supply. Rates change, so confirm the rate for your goods with your CA or the GST portal before you rely on it.
How do I record bran, husk or oil cake from a milling run?
A work order produces one output product, such as rice. After completing it, post a stock adjustment that adds the bran, husk or cake with the reason Other, a value per kg and a note naming the run. The stock is then ready to sell on an ordinary invoice.
Does SimpleERP connect to my weighbridge?
No. There is no weighbridge integration. Type the net weight from the weighbridge slip on the supplier bill or invoice line; kilograms take up to three decimals.
Can my munshi and accountant use it together?
Yes. Each person signs in with their own phone number and gets a role, so godown staff can post bills and transfers without seeing the whole ledger. The seven-day trial lets you invite up to five people.
Can I move from Tally or a notebook in the middle of the season?
Yes. Import your products from a CSV file with opening stock per godown, then enter opening balances for farmers, traders and your accounts. Older bills can stay in Tally or the notebook; new work starts in SimpleERP.
