Accounting software for electrical businesses
See which pump dealers owe you since the last season, what the switchgear distributor is owed, and what the stock is worth for the bank's monthly statement, without a separate book.
In short
SimpleERP is accounting software for electrical manufacturers and traders in India. Panel invoices, distributor bills, dealer receipts, warranty replacements and payroll post their own journals to one ledger, so ageing and stock value are ready today and the trial balance on any date.

An accounting day at Kovai Pump Controls
Pump dealers pay Kovai Pump Controls after the farmers pay them, which in a dry year can be ninety days. The owner's working capital sits with forty dealers, and the cash credit limit at the bank depends on a stock and debtors statement sent every month. On the stock side that statement counts finished control panels and DOL and star-delta starters under HSN 8537, plus contactors, overload relays, MCBs, CRCA sheet and copper wire in the store, all valued at weighted average cost.
The accountant used to build that statement from three places: the dealer ledger, a stock sheet and the distributor's balance confirmation. With every bill, receipt and work order posting itself, he now prints it from the ledger and spends the time chasing dues.
Which accounts matter most to a panel maker?
The seeded chart of accounts already has receivables, payables, inventory and the GST accounts. These are the ones the accountant checks before he locks a month.
- Every dealer is a customer with payment terms and a credit limit.
- Inventory carries components and finished panels at weighted average cost.
- Manufacturing overhead absorbed collects the labour added on work orders.
| Account | What posts there | Month-end check |
|---|---|---|
| Accounts receivable | Panel and spares invoices, dealer receipts | Ageing past 90 days listed dealer by dealer |
| Inventory | Distributor bills, work orders, invoices | Stock value agrees with the ledger for the bank statement |
| Accounts payable | Switchgear distributor, enclosure vendor, wire supplier | Balance matches each supplier's confirmation |
| CGST, SGST and IGST input and output | Every bill and invoice | Purchase register matched to GSTR-2B |
| Stock loss and warranty | Adjustments for burnt or replaced parts | Reasons reviewed by the owner |
| Cash credit account | Drawals, interest, repayments | Reconciled to the bank statement |
How do I see which dealer is slowing down?
The receivables ageing puts each dealer's dues into buckets from current to more than 90 days. A dealer who moved from the 30-day bucket to the 60-day bucket in one month is the first call of the morning.
- Customer statement with opening balance, bills, receipts and ageing, ready to send.
- Receipts settle several bills at once, and part payments stay visible.
- Credit limit warning before the next panel bill goes out.

Do I still post journals by hand?
Only for what no document covers, such as interest on the cash credit account or a loan EMI. Invoices, distributor bills, work orders and payroll each write a balanced journal as they post.
- Bank reconciliation by entering the statement balance and ticking cleared lines.
- Lock date at month end, so a closed month cannot be posted into.
- Trial balance, P&L and balance sheet on any date, printable or as CSV.

What SimpleERP does not do yet
- No bank feeds: bank entries are recorded and reconciled by hand
- No multi-currency; every document is in rupees
- GST return filing and e-invoicing are not done inside the product
- No ready-made stock and debtors statement in the bank's format; export stock value and ageing to CSV and fill it in

FAQ
Questions, answered
Our dealers deduct TDS when they pay. How do I record that?
Record the receipt for the amount that reached the bank and post a short journal for the TDS against the dealer, to a TDS receivable account. The invoice then shows fully settled, and your CA can match the TDS against Form 26AS.
Can I see the cost of goods sold on a month's panel sales?
Yes. Each invoice posts the cost of the panels it sold at their average cost, so the profit and loss shows gross profit for the month without a closing stock entry.
What does the bank's stock statement need from SimpleERP?
The stock value report gives quantity and value per store on the date the bank asks for, and the ageing report gives debtors by age. Both export to CSV, so filling in the bank's format takes minutes.
We bought a new crimping machine and a test bench. Where do they go?
Add them to the fixed assets register with cost, date and depreciation method. Each depreciation run posts its own journal, and the assets show at book value on the balance sheet.
