Payroll software for rice mill workers

Pay the huller crew, the boiler hands, the drivers and the munshi from the attendance they marked, with every advance recovered on time.

In short

SimpleERP is payroll software for rice mills in India. Mill hands are marked on day and night shifts, salary structures add PF and professional tax, advances are recovered each month, and the approved run posts the wage journal.

A payroll day at Ponni Valley Rice Mill

Ponni Valley Rice Mill runs two shifts through the harvest months. Twelve hands work the huller and polisher by day, six keep the boiler and the paddy drier going at night, and a supervisor, a munshi and two drivers make up the rest of the roll.

Wages used to be worked out on the last Saturday from an attendance notebook, with advances pencilled in the margin. A worker who took ₹5,000 before Pongal would ask each month how much was still due, and the answer depended on who had the notebook.

SimpleERP keeps each worker's salary structure, the daily attendance sheet and every advance in one place. The run reads paid days, deducts the advance instalment and PF, and posts the wage journal when the owner approves it.

How do day and night shifts feed the payroll?

Each worker is on a shift with a start, end, break and grace time. The supervisor marks the whole mill on one screen or workers check in from a phone, and late arrivals are flagged against their own shift.

  • A night shift added beside the General shift for the boiler crew.
  • Godown and husk yard hands sit on the General shift and are marked on the same sheet.
  • Half days count as half a paid day.
  • Unmarked days are flagged for the supervisor to check before the run.
  • Holidays such as Pongal pasted once for the year.

What goes on a mill hand's payslip?

A salary structure lists earnings and deductions, each fixed or a percentage of Basic or gross, and the live preview shows the net pay before you save. The table is a typical structure for a huller operator.

  • Basic, HRA, conveyance, special allowance and bonus are seeded.
  • Pro-rating by paid days, so a week of absence cuts the month fairly.
  • Bonus can skip pro-rating for the Deepavali payout.

How are advances recovered without a notebook?

Pay an advance with a monthly recovery amount and each payroll run deducts it until it is settled. The advances page shows what each worker took, what has come back and what is still due, and the worker sees the same balance on their own phone.

  • Recovery amount per month set when the advance is paid.
  • Cancel an advance only while nothing has been recovered.
  • Self-service login shows the worker their payslips and advance balance.

Who approves the run, and how does the wage journal post?

The run moves from generate to approve to pay. The owner reviews the totals and anything flagged, approves once, and SimpleERP posts salaries, PF payable and advances recovered to the ledger, so the accountant keys in no wage entry.

  • Payroll register per run with every component.
  • White A4 payslips with net pay in words.
  • Bank or cash payment of salaries recorded against the run.

Honest limits

What SimpleERP does not do yet

  • Income tax (TDS) is not computed; you set the deduction per employee
  • No preset ESI or gratuity; add them as components where they apply
  • No biometric device integration: attendance is marked on the phone or entered by HR
  • No piece rates per bag loaded or per quintal milled; pay on a monthly structure with a bonus line.
  • No daily-rated muster for casual hamali; pay casual loaders as an expense.

Getting started

Start with payroll

  1. Sign up with your phone

Name, phone number and a password. No card for the seven-day trial, and email is optional.

  2. Tell us about the business

Type your GSTIN and the state fills itself. Accounts, GST rates, units, roles and numbering are seeded for you.

  3. Add your people

Add each mill hand with joining date, shift and salary structure; invite those with smartphones to self-service.

  4. Run the first payroll

Attendance and leave feed the run; payslips post to the books and staff see them on their phones.

FAQ

Questions, answered

My loaders are paid per bag. Can SimpleERP do that?

No. There are no piece rates, so a payslip cannot multiply bags by a rate. Put permanent hands on a monthly structure and add the month's bag earnings as a bonus line in the run, or pay casual loaders as an expense under a hamali category.

Can workers without smartphones still be marked present?

Yes. The supervisor marks the whole mill on one daily sheet, with Mark all present filling the rows not touched. Only workers who want to see their own payslips need a self-service login; nobody needs one to be paid.

Is PF worked out for each worker automatically?

Yes, when PF is a component in the structure. It is a percentage of the pro-rated Basic, so a worker who missed days pays PF on what was earned. Professional tax and TDS are deductions you set per employee, and ESI is added as a component where it applies.

Can I pay a harvest bonus to everyone in one run?

Yes. In the run, add a bonus line to each payslip before approving, and mark the bonus component to skip pro-rating if a worker on leave should still get the full amount. The payroll register then shows the bonus beside regular wages for the month.
