A payroll day at Sabarmati Polymers
Sabarmati Polymers runs its machines on two twelve-hour shifts, A from 8 in the morning and B from 8 at night. Twenty-eight operators and helpers rotate between them, many from villages in Uttar Pradesh and Bihar, and several live in rooms the company rents near the estate. The A shift feeds HDPE and PP granules with masterbatch into the injection moulding and blow moulding lines for jerry cans and closures, the B shift runs regrind and packs cartons, and both are paid the same shift rate.
Before Holi and again before Chhath, half the floor takes an advance to travel home. The supervisor has to know who came back on time, the payroll has to know who owes what, and the owner wants salaries out by the 10th.
How do I set up day and night shifts with rotating weekly offs?
Create the A shift and the B shift with their hours and grace minutes, and assign each operator to one. The supervisor marks the floor present in one tap at shift change, then fixes the absentees.
- Late marks follow each shift's grace minutes the same way for everyone.
- Weekly offs per employee, so the rotation does not show up as absence.
- Unmarked days are flagged in the run, so a missed mark at shift change is caught.

Which components go on a machine operator's payslip?
Each operator has a salary structure. Gujarat levies professional tax, so PT is a deduction on every structure above the threshold, and ESI is added as a deduction for those under the wage limit.
- Room rent for company quarters can be its own deduction component.
- Overtime past the shift is added as an earnings line on the draft payslip.
- PF at 12% of Basic, with the employer's share posted on approval.

What does an operator's month come to?
Raju runs a blow moulding machine on the B shift. His Basic is ₹12,000, HRA ₹4,800 and shift allowance ₹1,500, a gross of ₹18,300. PF of ₹1,440, a room rent deduction of ₹800 and an advance instalment of ₹1,000 leave a net of ₹15,060 before ESI and PT.
- Absent days after the Holi trip become loss of pay automatically.
- The advance stops being deducted once it is repaid.
- Payslips print on A4 for those without a phone login.

What SimpleERP does not do yet
- Income tax (TDS) is not computed; you set the deduction per employee
- No preset ESI or gratuity; add them as components where they apply
- No biometric device integration: attendance is marked on the phone or entered by HR
- No overtime worked out from shift hours; enter the overtime amount on the draft payslip
- No pay per piece moulded; operators are paid a monthly salary

FAQ
Questions, answered
My operators work twelve-hour shifts. How is the extra time paid?
SimpleERP does not calculate overtime from shift hours. Work out the overtime as you do today, then add it as an earnings line on each operator's draft payslip before approving the run. It posts to salary expense with the rest of the pay.
Some workers leave for their village and come back after three weeks. What happens to their pay?
The days they were marked absent become loss of pay in that month's run, pro-rated across every component. If they took leave you approved as paid, those days are paid. Nothing has to be worked out by hand.
Can a helper who left mid-month be paid his dues?
Yes. Mark him absent for the days after he left, and the run treats them as loss of pay, so he is paid for the days he worked. Any advance balance he still owes is shown on the advances page so you can settle it with him.
How much professional tax do I deduct in Gujarat?
Professional tax in Gujarat depends on monthly salary, and the slab has changed over the years, so check the current one with your consultant. In SimpleERP you set the PT amount on each structure and it is posted to PT payable.
