Payroll software for IT companies and agencies
Thirty salaries, half the team working from home on any day, two joiners and one exit this month, and four freelance designers who are not on payroll at all.
In short
SimpleERP is payroll software for IT companies and agencies in India. Developers and designers get payslips from attendance and leave with PF, PT and TDS deductions, work-from-home is an attendance status, and freelancers are paid by supplier bill.

A payroll day at Kayal Softworks
Salaries at Kayal Softworks go out on the last working day, and the developers notice when they are late. This month two developers joined on the 12th, a QA engineer is serving the last fortnight of her notice, and a designer took four days of unpaid leave between sprints.
Most of the team works from home on Mondays and Fridays. Attendance used to be a shared sheet that nobody filled after the first week, and the HR executive rebuilt it from Slack messages before every payroll.
Four freelance illustrators and a contract developer work on retainer and raise their own invoices. They are paid like suppliers, with TDS deducted, and they never appear in the salary register.
How should a software company set up salary components?
Set one structure per grade and assign it to each person. The run reads paid days from attendance, pro-rates a joiner on the 12th automatically and posts the whole month to the books once approved.
- Bonus and arrears added to a payslip before you approve.
- TDS set per employee from their declared investments, since income tax is not computed.
| Who | Paid through | Lines on the payslip or bill |
|---|---|---|
| Developers, QA and designers on salary | Payroll | Basic, HRA, special allowance, PF, PT, TDS |
| Joiner mid-month | Payroll, pro-rated by paid days | The same lines for the days worked |
| Employee serving notice | Payroll until the last day | Leave encashment or recovery as a manual line |
| Freelance illustrator or contract developer | Supplier bill | Their fee with SAC code; TDS by journal |
| Client travel and co-working passes | Expense claim | Each bill with a receipt photo |
Does work from home count as a paid day?
Yes. Work from home is an attendance status of its own, so a developer at home on Monday is paid exactly like one at Infopark. Leave is requested on a phone, approved by the team lead, and loss of pay comes only from absences and unpaid leave.
- Check-in from a phone browser, at home or in the office.
- Leave balances that change the moment a request is approved.
- Holidays for Onam and Vishu set once for the year.

How do joiners and exits fit in the monthly run?
A new hire is added with a joining date and a structure, invited to self-service and allocated a laptop in the same afternoon. At exit, the final payslip carries the last paid days, and the asset register lists the laptop and monitor to collect before the relieving letter goes out.
- Advances recovered from the final payslip if any balance remains.
- Payslips on the phone for every month while they are with you.
- Payroll register exported to CSV for your CA's PF and PT filings.

What SimpleERP does not do yet
- Income tax (TDS) is not computed; you set the deduction per employee
- No preset ESI or gratuity; add them as components where they apply
- No biometric device integration: attendance is marked on the phone or entered by HR
- No Form 16 generation or full-and-final settlement workflow; the final payslip is adjusted by hand

FAQ
Questions, answered
Can developers see their own payslips without emailing HR?
Yes. Every employee has self-service on their phone, with payslips for each approved month, leave balances, attendance and the status of their claims. They see only their own; salaries stay hidden from anyone whose role does not include payroll.
Does SimpleERP work out TDS on salary?
No. It does not compute income tax. Your CA or HR works out each developer's monthly TDS from their regime choice and declarations, and you enter it as the TDS deduction on their structure; payroll then deducts and posts it.
We pay freelancers every month. Should they be in payroll?
No. Freelancers and contract developers raise invoices, so record each one as a supplier bill and pay it from payables. Post the TDS you deduct with a journal, and they stay out of the salary register and PF.
Our team leads approve leave. Can they also approve claims?
Yes. Approvals are single-step: a team lead given the approve permission for leave and claims approves or rejects them, and the accountant pays approved claims. There is no second approval level in this release.
