ERP software for IT services companies and digital agencies

Track every enquiry to a signed quote, raise the monthly retainer invoices with the right SAC code, pay a salaried team with PF, PT and TDS, and know which laptop sits with whom.

In short

SimpleERP is ERP software for IT services companies and digital agencies in India. A CRM pipeline feeds quotations and SAC-coded GST invoices, and payroll, attendance, leave, expense claims and a laptop register run on the same ledger.

A day in an IT services company or agency

A 25-person software or marketing shop sells skilled time every month, so the work is keeping the pipeline full, the retainers billed and the team paid on the first.

At Brightloop Digital in Pune, Monday starts with the sales lead asking which of last week's eleven enquiries got a proposal. A website rebuild for Nilgiri Living in Bengaluru is close, two app projects are waiting on a revised estimate, and a performance-marketing lead from Nashik has not replied in nine days.

Meanwhile the accounts executive copies last month's retainer invoices in a spreadsheet, changes the month and hopes the GST split is right for clients in other states. Two developers joined this month and need laptops, one designer is serving notice and still has hers, and salaries with PF, professional tax and TDS are due in a week.

SimpleERP puts that month on one ledger. The quotation carries the scope from the deal, the tax invoice carries the SAC code and works out IGST or CGST and SGST from the client's GSTIN, and payroll, claims and the laptop register sit beside the same books your CA reads.

CRM

See which proposals are waiting on you, and which on the client

Every enquiry becomes a lead, every serious one a deal in a stage with a value and a probability, and the follow-ups due today open first, so a proposal never goes cold because someone forgot.

  • Stages you can rename, from qualification to proposal to negotiation, with won and lost at the end.
  • Lost reason required when a deal closes as lost, so you learn why pitches fail.
  • Quotation from the deal, linked back so the deal shows every version you sent.
  • Source on every lead, such as referral, website or social media, to see what brings work in.

GST billing

Retainer and project invoices with the right SAC code

Each service carries its SAC code and GST rate, and the invoice compares the client's state with yours to apply CGST and SGST or IGST, so a Bengaluru client billed from Pune gets IGST without anyone deciding.

  • Services without stock: no warehouse, no stock movement, no cost of goods.
  • Retainers raised by hand each month from your saved services.
  • HSN and SAC summary on the print, with your bank details and a UPI QR.

Payments

Know which retainer clients are paying late

Receipts by bank transfer, UPI or cheque are allocated to the invoices they settle, so receivables ageing by client tells you who is 60 days behind before you start next month's work for them.

  • Ageing buckets by client, from current to over 90 days.
  • Customer statements with a running balance, ready to print or share.
  • Credit notes when a retainer is reduced or a deliverable is dropped.

People and payroll

Pay a salaried team on time, with PF, PT and TDS

Add a new hire, invite them to self-service by phone, and from then on their attendance, leave and claims flow into a monthly payroll run that posts salaries and statutory deductions to the books.

  • Salary structures with Basic, HRA, special allowance, PF and professional tax.
  • TDS per employee as a payslip deduction you set from their declared tax.
  • Work from home as an attendance status, and leave balances that update on approval.
  • Bonus and arrears added to a payslip before you approve the run.

Assets and expenses

Know which laptop is with which developer

Laptops, monitors and office furniture go into a fixed asset register that records who holds each one, depreciates it every month into the ledger and shows what to collect when someone leaves.

  • Allocate and return each laptop to an employee, with its serial number and warranty date.
  • Assets held shows on each employee profile, so nothing is missed at exit.
  • Monthly depreciation posted in one run, straight line or declining balance.
  • Software subscriptions and travel recorded as expenses or staff claims with input tax.

Ready on day one

What you don't have to set up

SimpleERP seeds the defaults when you sign up, so an agency can bill and pay people in its first week without designing a chart of accounts.

  • A chart of accounts with salaries, statutory deductions payable and fixed assets already mapped.
  • GST rates split into CGST, SGST and IGST, chosen by place of supply.
  • Asset categories such as computers and equipment with a 36-month life.
  • Salary components (Basic, HRA, PF, PT, TDS), a default shift and leave types.
  • Seven ready-made roles, including Sales for account managers and Employee self-service for the team.

Honest limits

What SimpleERP does not do for IT companies and agencies yet

These come up with almost every software and agency team, so here they are up front.

  • Export invoices or multi-currency billing. Invoices are domestic and in rupees only.
  • Recurring invoices that raise themselves. Retainers are raised by hand each month.
  • Timesheets, billing from tracked hours or profitability by project.
  • Bank feeds. Receipts and payments are entered or allocated by hand.
  • Income tax computation. TDS on salary is a deduction you set per employee.

FAQ

Questions, answered

Which GST rate applies to IT and agency services?

It depends on the SAC code. Many software development, IT support and advertising services fall under heading 9983 or nearby headings and are often billed at 18%, but check each service. In SimpleERP you set the SAC code and rate on each service and the invoice applies it. Rates change, so confirm the rate for your goods with your CA or the GST portal before you rely on it.

Can SimpleERP raise our monthly retainer invoices automatically?

No. There are no recurring invoices yet. Save each retainer as a service with its SAC code and rate, then raise the invoice by hand at the start of the month; picking the client and the service fills the rest.

Can we bill clients in the US or Europe in dollars?

No. SimpleERP is for domestic billing in rupees in this release. If most of your revenue is export of services, it is not the right fit yet.

Does it suit a team of 10 to 50 people?

Yes. Members are unlimited, every employee can use self-service for attendance, leave, payslips and claims, and custom roles let account managers see sales without seeing payroll.

How do we move from Tally or spreadsheets?

Start at the beginning of a month or a financial year. Enter opening balances for clients, bank and statutory dues, add your services, add employees with their salary structures, and register laptops as assets already owned with their accumulated depreciation.

Run your whole business from one simple place.
