Stone crushers and M-sand

Inventory software for stone crushers

Know how many tonnes of each size are in the yard, what the boulder stockpile is worth and which spares are left in the store, from documents rather than guesses.

In short

SimpleERP is inventory software for stone crushers in India. Boulders, every aggregate size, M-sand and quarry dust are counted in tonnes per yard, valued at weighted average cost, and moved only by posted invoices, bills, counts, transfers and work orders.

An inventory day at Godavari Blue Metal and M-Sand

The yard at Godavari Blue Metal and M-Sand is a ring of piles around the plant: boulders from the quarry face, then 40 mm, 20 mm, 12 mm and 6 mm under the screens, a long heap of M-sand beside the VSI, and quarry dust that nobody wants until a road job comes along.

The questions arrive by phone. A builder needs 200 tonnes of M-sand by Friday, and is there enough? The bank wants a stock statement. The plant manager wants to know how many jaw plates and belt rolls are left before the monsoon shutdown.

In SimpleERP each size is a product with a quantity per yard that only posted documents can change. Tippers leaving on invoices take stock out, crushing output comes in by work order or adjustment, and a pile survey is entered as a count that posts the difference.

How should a crusher set up units and yards?

Add tonnes once and use it for everything that leaves on a weighbridge slip. Keep store items in their own units, and add a second yard only if you really stock material away from the plant.

  • Tonnes to three decimals from the weighbridge slip.
  • Transfers from the plant yard to a sales depot at cost.
  • Opening stock per yard imported with the product CSV.

Reorder levels sit on what you buy; sized material is crushed to demand and watched on the stock list.

How is the pile of 20 mm valued?

Quantities are kept per yard, and every product carries one weighted average cost across the business. Crushing output enters at the cost the work order or adjustment gives it, sales take it out at that average, and the stock value on the report equals the inventory figure in the books.

  • Movement ledger links every tonne to its document.
  • Stock value by yard for the month-end.
  • Export the stock list as CSV when the bank asks for drawing power figures.

What does a pile survey do to the books?

Piles settle, wash out in the rain and get loaded without a slip. Enter the surveyed tonnes per size in count mode, and SimpleERP posts the difference as an adjustment with a reason, so the loss is recorded once and the books follow.

  • Count by yard, so the depot and the plant are surveyed separately.
  • A reason on every adjustment for the auditor.
  • The survey date sets when the difference posts.

Can spares and diesel sit in the same stock?

Yes. Jaw plates, blow bars, screen meshes and diesel come in on supplier bills as stock items in the store, and leave by an adjustment when fitted or filled into the excavator, so their cost reaches the books on the day they are used.

  • Low-stock list for jaw plates and belts with the last supplier.
  • Create purchase order from the list, one draft per supplier.
  • Diesel in litres with the reason recorded on each issue.

Honest limits

What SimpleERP does not do yet

  • No batch, lot, serial or expiry tracking, and no barcode scanning
  • Weighted average cost only; there is no FIFO
  • No automatic reorder suggestions: the reorder level shows what is low, you decide what to buy
  • No weighbridge integration: net tonnes are typed from the slip.
  • No royalty or transit-pass balance kept against boulder stock.

Getting started

Start with inventory

  1. Sign up with your phone

Name, phone number and a password. No card for the seven-day trial, and email is optional.

  2. Tell us about the business

Type your GSTIN and the state fills itself. Accounts, GST rates, units, roles and numbering are seeded for you.

  3. Add products and opening stock

Add boulders, each aggregate size, M-sand, quarry dust and the store's spares with units and opening stock per yard.

  4. Post a bill and an invoice

Stock rises on the purchase bill and falls on the invoice, at weighted average cost, with nothing to count by hand.

FAQ

Questions, answered

We sell some buyers by the brass. Can I keep stock in brass?

Add brass as a unit and use it on a product, but a product has one unit, so a size kept in tonnes cannot be sold in brass. Crushers that sell both ways keep two products for the size and move quantity between them with a stock adjustment on each.

Can I see how much M-sand each crushing day produced?

Yes, through the movement ledger of M-sand: each work order or adjustment that added it shows the date, quantity and document. There are no stage-wise counts from the plant itself, so the figure is what your operator records at day end.

Are boulders from our own quarry tracked apart from bought boulders?

Only if you make them two products. There is no batch or lot tracking, so one product mixes every arrival at average cost. Keep own-quarry and bought boulders apart when their cost differs, and the crushing work order picks the one used.

Can the site supervisor check stock from the yard?

Yes. SimpleERP works in the phone browser, so the supervisor opens the stock list standing in the yard. Give them the Purchase & Inventory role to post counts and transfers without seeing payroll or the bank.
