GST billing software for security agencies
Turn each site's attendance count into a monthly invoice: guards and supervisors billed by man-day, the SAC code on every line, and the client's balance updated the moment you post.
In short
SimpleERP is GST billing software for security agencies in India. It bills each client site monthly by man-day under SAC 998525, picks CGST and SGST or IGST from the place of supply, and posts the receivable to the client's ledger.

A billing day at Marina Guard Services Pvt Ltd
On the second working day of the month, the accounts desk at Marina Guard Services Pvt Ltd in Chennai collects a man-day summary from every supervisor. The hospital in Ambattur had six guards on a 12-hour shift plus one supervisor, and the warehouse in Sriperumbudur took a relieving guard for a week while a regular was on leave.
Each client wants a separate bill for every client site, showing man-days, the contract rate and GST line by line. A tech campus in Whitefield, Bengaluru is served from the Chennai office, so its bill carries IGST instead of the Tamil Nadu split.
In SimpleERP the desk picks the client, adds a guard line and a supervisor line in man-days, checks the total and posts. The client's balance, the sales register and the GST summary all change in that single step.
How do I bill a client site for a month of guarding?
Bill man-days, not headcount: six guards for 30 days is 180 man-days at the agreed day rate. The figures below are the Ambattur hospital bill for September 2026. Rates change, so confirm the rate for your goods with your CA or the GST portal before you rely on it.
- A man-day unit added once, so every bill and report counts the same way.
- Extra days for a relieving guard go on the same line, so the client sees one total.
- The site address in the shipping address, so a client with many gates can match each bill.
| Line | SAC | Man-days | Rate | Amount |
|---|---|---|---|---|
| Security guard, 12-hour shift | 998525 | 180 | ₹780 | ₹1,40,400 |
| Supervisor | 998525 | 30 | ₹950 | ₹28,500 |
| Taxable value | ₹1,68,900 | |||
| CGST at 9% and SGST at 9% | ₹30,402 | |||
| Invoice total | ₹1,99,302 |
Which tax goes on the bill when the client sits in another state?
SimpleERP compares the place of supply with your branch's state. For the Whitefield campus the two differ, so the 18% is charged as IGST in one line; for the Ambattur hospital they match, so it splits into CGST and SGST. You never pick the tax by hand.
- State from GSTIN: type the client's GSTIN and their state fills itself.
- Checked again at posting, so an address edited late cannot leave the wrong tax.
- Keyboard line editor: Enter moves cell by cell through man-days, rate and tax.

What changes if my agency is a partnership, not a company?
As notified, security services from a supplier that is not a body corporate to a registered client fall under reverse charge, so the client pays the GST instead of you. Check your own case with your CA. SimpleERP has no reverse charge flag, so it will not leave the tax off by itself: write the reverse charge line in the invoice notes, and agree with your CA how those lines should be set up.
- Invoice notes and terms carry the reverse charge line and your PSARA licence number.
- Unregistered clients, such as a housing society without a GSTIN, are billed with GST as usual.
How do I see which client has not paid for last month?
Every posted bill adds to that client's ledger, and receipts are allocated against the bills they settle. The ageing report then shows each client by bucket, so a 75-day-old hospital bill stands out before the wage run.
- One receipt across several site bills, oldest first or as the client's remittance says.
- Credit notes when a client disputes man-days for a guard who did not turn up.
- Statements on white A4 for the client's accounts team.

FAQ
Questions, answered
Can I bill per man-day instead of per guard per month?
Yes. Create a unit called man-day and use it on your guard services. A monthly contract rate still works: bill the number of guards as the quantity and the monthly rate as the price.
Can one client with three gates get three bills?
Yes. Raise a bill for each site against the same client, with that gate's address. The ledger and the statement list all three, and one payment can be split across them.
Where do I print my PSARA licence number?
Type it in the invoice terms or notes. SimpleERP does not keep a PSARA register or remind you about renewal, so track the licence dates yourself.
What GST rate goes on a guard services bill?
Guard services under SAC 998525 are commonly charged at 18%, and you set that rate on the service once. Rates change, so confirm the rate for your goods with your CA or the GST portal before you rely on it.
