GST billing software for retail shops
A grocery bill can carry loose rice at nil, oil and ghee at 5% and a floor cleaner at 18%. Ring it up quickly, print it with a UPI QR and let the stock come off the shelf on its own.
In short
SimpleERP is GST billing software for retail shops in India. Counter bills for walk-in buyers and GST invoices for business buyers apply each product's HSN and rate, print with a UPI QR and reduce that branch's stock.

A GST billing day at Chamundi Daily Needs
Chamundi Daily Needs runs two grocery and household stores in Mysuru, one in Saraswathipuram and a newer one in Vijayanagar. Between seven and ten in the morning the counter sees a queue: milk-and-bread buyers, a family doing the month's staples, and a hotel cook who needs a GST bill for his owner.
Most buyers never give a GSTIN, so their bills go on one walk-in customer. The hotel and two caterers are registered and get proper tax invoices with their GSTIN. Every bill mixes rates: loose unbranded rice at nil, packed dal, oil, ghee and toothpaste at 5%, cleaners at 18%.
At the Chamundi counter the cashier types a few letters of each item, enters the quantity in kg, packets or pouches and saves. The rate and HSN come from the product, the UPI QR prints at the foot, and the bill reduces that branch's stock the moment it posts.
What does a mixed-rate grocery bill look like?
Each line carries its own HSN and rate, so the bill totals correctly whatever the family put in the basket. The print shows tax by component and an HSN-wise summary, and round off brings the total to whole rupees.
- Quantities in decimals for staples sold by the kg.
- Round off is editable and posts to its own account.
- Line discount in percent or rupees for a regular customer.
| Line (HSN) | Quantity | Taxable value | GST |
|---|---|---|---|
| Loose sona masoori rice, unbranded (1006) | 5 kg @ ₹58 | ₹290 | Nil |
| Toor dal, 1 kg packet (0713) | 2 packets @ ₹152 | ₹304 | 5%: ₹15.20 |
| Sunflower oil, 1 litre (1512) | 3 pouches @ ₹143 | ₹429 | 5%: ₹21.45 |
| Ghee, 500 ml jar (0405) | 1 @ ₹310 | ₹310 | 5%: ₹15.50 |
| Toothpaste, 150 g (3306) | 2 @ ₹88 | ₹176 | 5%: ₹8.80 |
| Floor cleaner, 1 litre (3402) | 1 @ ₹165 | ₹165 | 18%: ₹29.70 |
| Total (CGST ₹45.33 + SGST ₹45.32, round off ₹0.35) | ₹1,674 | ₹1,765 to pay |
Do walk-in buyers and hotels need different bills?
Walk-in sales go on one customer you name, such as Counter Saraswathipuram, and still carry GST. A hotel or caterer with a GSTIN is added as its own customer, so its name and GSTIN print on the tax invoice and it can claim the input credit.
- One walk-in customer per branch keeps each store's counter sales apart in reports.
- Business buyers can be added from inside the invoice editor without leaving the bill.
- The sales register separates registered and walk-in sales for your CA's GSTR-1 work.

How do I mark a bill paid by UPI, cash or card?
Add your UPI id to the shop's bank account and every print carries a QR. Record the receipt against the bill as UPI, cash or card and it shows paid; the money lands in the cash or bank account it went into.
- Split payment: part cash and part UPI are two receipts on the same bill.
- Paid stamp on the reprint once the receipt is recorded.
- Day book at closing lists every bill and receipt for the day.
A customer brings back a damaged pouch. What then?
Raise a credit note against the original bill. It reverses the GST and the sale, refunds or credits the customer, and puts the item back on the shelf if it can be sold again.
- Leave stock out for a burst pouch that goes in the bin.
- Every credit note links to the bill it corrects.
- Cancelled bills reverse rather than vanish, so the audit trail stays complete.

What SimpleERP does not do yet
- E-invoice IRN and QR code, and e-way bills, are not generated through the government APIs
- Cess is not calculated; GST return filing stays with you or your accountant
- No price lists: every line is priced as you bill it
- No POS hardware or barcode scanning: no thermal receipt printer, cash drawer or scale; bills print on A4
- Rates on the line are before GST, so an MRP-inclusive price has to be entered as its pre-tax figure

FAQ
Questions, answered
Can I bill loose rice and atta at nil GST on the same bill as packed goods?
Yes. Each product has its own rate, so give loose, unbranded staples a 0% rate and packed, labelled ones the rate their HSN carries. One bill then shows nil and taxed lines together. Rates change, so confirm the rate for your goods with your CA or the GST portal before you rely on it.
My prices are MRP including GST. Can I type the MRP on the bill?
Not directly. SimpleERP prices lines before tax and adds GST on top. Set each product's sale price at the pre-tax figure so the bill lands on the MRP, and use round off for the last paisa.
Is it quick enough for a morning queue?
The editor is keyboard-first: type a few letters, Enter, quantity, Enter, and save. There is no barcode scanning, so cashiers type item names. Shops with a long queue of single-item buyers should try it on a busy morning before deciding.
Can both stores bill at the same time?
Yes. Each store is a branch with its own warehouse, and any number of cashiers can bill at once from a browser. Both stores draw invoice numbers from one series, such as INV-2026-27-0418.
