Payroll software for printing presses
Season night shifts, a festival advance for every binder and PF for the operators: mark attendance daily and the monthly run does the arithmetic.
In short
SimpleERP is payroll software for printing presses in India. Press operators, binders and office staff get salary structures once, attendance and leave feed the monthly run, and advances, PF and professional tax land on every payslip.

A payroll day at Kaveri Offset Printers
Kaveri Offset Printers has 34 people: six press operators and their helpers, a man who makes the plates and mixes ink, a cutting machine man, eighteen binding and packing staff, and four in the office. From September the presses run a night shift until the last calendars and cracker labels leave for the lorry.
Every November half the binding staff ask for a Deepavali advance, and every December the supervisor tries to remember who took how much. The salary sheet is an Excel file that one person understands, and the PF figures go to the consultant on a separate page.
SimpleERP marks attendance against each worker's shift, records the advance with its recovery plan, and builds every payslip from the structure, the paid days and the deductions. The run posts wages to the books when you approve and pay it.
What goes on a press worker's payslip?
Each employee gets a salary structure built from components. Operators often carry a machine allowance, binders a plain basic and HRA, and everyone above the PF threshold the employee and employer share.
- Components such as Basic, HRA, conveyance and a machine allowance, set once per person.
- ESI for the binding section goes in as a component of its own, because none is preset.
- TDS is a deduction you enter for the few office staff who need it.
| Who | Components | Shift | Advances |
|---|---|---|---|
| Press operators | Basic, HRA, machine allowance, PF, PT | Day shift, night shift Sept to Dec | Deepavali advance, four equal monthly cuts |
| Press helpers | Basic, HRA, PF, PT | Follows the operator's shift | Small sums, taken back from the next payslip |
| Binding staff folding calendars, packing cartons | Basic and HRA, with ESI added and PT | General shift, 9:00 to 6:00 | Deepavali advance of ₹5,000, recovered over 5 months |
| Office and accounts | Basic, HRA, conveyance, PF, PT and a TDS figure | General shift | Rarely |
Can the season night shift be marked correctly?
Add a night shift such as 9 pm to 5 am and assign it to the press crew for the season. A shift that ends after midnight stays on the day it started, so one night counts once, and late arrival is flagged against the shift's grace period.
- Mark everyone present on the daily sheet, then change only the absentees and half days.
- Phone check-in for operators who start before the office opens.
- Holidays you add, such as Pongal and Deepavali, are filled in and locked on the sheet.

How do Deepavali advances come back?
Record the advance against the worker with the monthly amount to recover. Each payroll run deducts that amount until the balance is cleared, and the payslip shows what is left, which ends the December argument about who still owes what.
- Bonus and arrears are added in the review step for the month they are paid.
- Loss of pay comes from absences and unpaid leave, not from a separate list.
- Payslips reach staff on their phones through employee self-service.

Honest limits
What SimpleERP does not do yet
- Income tax (TDS) is not computed; you set the deduction per employee
- No preset ESI or gratuity; add them as components where they apply
- No biometric device integration: attendance is marked on the phone or entered by HR
- No piece-rate pay: binders paid per thousand folds need a monthly salary or an amount added in the review step.
- No overtime calculation from night-shift hours.

FAQ
Questions, answered
My binders are paid per thousand sheets folded. Can it do that?
No. SimpleERP has no piece-rate pay, and every press worker is on a monthly salary made of components. Some presses pay binders a fixed salary and add an incentive amount in the review step each month; that amount is typed in, not counted from output.
Can operators see their own payslips?
Yes. Each employee signs in with their phone number to employee self-service and sees payslips, leave balances and their own attendance. They can also check in and apply for leave there, which the supervisor approves from his phone.
Will PF and professional tax come out right for my operators?
Yes. PF and professional tax are seeded salary components, so they come out on every payslip from each worker's structure without a separate sheet for the consultant. TDS is not computed; it is a figure you set per employee.
We hire extra helpers only for the calendar season. Is that a problem?
No. Add them as employees with a joining date, and mark them as exited when the season ends. Their payslips and attendance stay on record for the next season.
