GST billing software for manufacturers who sell through dealers
One tax invoice per dealer load, with the right HSN on pumps, motors and spares, the tax split read from the place of supply, and each unit's cost taken from the work order that made it.
In short
SimpleERP is GST billing software for small manufacturers in India. A pump or motor maker raises one tax invoice per dealer load, with HSN on every line, CGST and SGST or IGST from the place of supply, and stock and cost posted together.

A GST billing day at Kaveri Flow Pumps
Kaveri Flow Pumps assembles 1 HP and 1.5 HP monoblock pumps and 3 HP submersible pumps in Coimbatore and sells them through farm-supply dealers in Tamil Nadu, Kerala and Karnataka. A normal morning has three dispatches: 12 monoblocks to Sri Velan Agro Agencies in Erode, a mixed load of submersibles and spare impellers to Deccan Irrigation Stores in Hubballi, and one replacement motor for a farmer who pays by UPI at the gate.
Each of those carries a different tax treatment. Erode is inside Tamil Nadu, so that bill splits into CGST and SGST. Hubballi is in Karnataka, so the same lines carry IGST. Spares such as impellers, mechanical seals and capacitors sit under different HSN headings from the finished pump, and the dealer's accountant checks every one of them against his GSTR-2B.
In SimpleERP the dispatch clerk raises one tax invoice per dealer load. The place of supply comes from the dealer's shipping address, the HSN and rate come from each product, and posting takes the pumps out of the finished-goods godown at the cost recorded by the work order that assembled them.
How does one invoice treat an Erode dealer and a Hubballi dealer differently?
The place of supply on the invoice decides the split. A Tamil Nadu shipping address gives CGST and SGST at half the rate each; a Karnataka or Kerala address switches every line to IGST at the full rate, while you edit and again when you post.
- Dealer GSTIN checked as you type it, with the state read from its first two digits
- HSN on every line, so a pump, a loose motor and a set of seals each carry their own code
- Line discounts in percent or rupees for a dealer's season scheme, and an editable round off
- Fiscal-year numbering such as INV-2026-27-0148, inside the 16-character GST limit

Which HSN codes do pump and motor invoices usually carry?
Finished pumps, motors and spare parts fall under separate headings, and several machinery rates were revised in September 2025. Put the HSN and rate on each product once and every invoice reads them from there.
- Rate and HSN live on the product, so the dispatch clerk never picks them by hand
- HSN-wise summary on the print and as a report for the GSTR-1 HSN table
| Line on the invoice | HSN | Usual rate |
|---|---|---|
| Monoblock and submersible water pumps | 8413 | Depends on the entry; water pumps were revised in September 2025 |
| Pump parts: impellers, casings, diffusers | 8413 91 | Usually 18% |
| Electric motors sold loose | 8501 | Usually 18% |
| Ball bearings sold as spares | 8482 | Usually 18% |
| Motor-run capacitors | 8532 | Usually 18% |
What happens to stock and cost when a pump load is invoiced?
Posting the invoice does four things together: it issues the pumps from the finished-goods godown, books cost of goods sold at their weighted average cost, adds the amount to the dealer's receivable and records output GST. The margin on that load is known the moment it posts.
- Cost from the work order, so a 1 HP monoblock that cost ₹4,861.30 to build carries that cost into the sale
- Credit limit per dealer, with a warning on the invoice when a load would take him past it
- Sales order to invoice in parts when an order for 40 pumps leaves in two trucks
- Credit note linked to the original invoice when a pump comes back from a dealer
How do dealer payments get matched to the right invoice?
The A4 print carries your bank details and a UPI QR for the invoice amount. When Sri Velan Agro Agencies pays ₹50,000 against a ₹74,400 invoice, the receipt is allocated to that invoice and the ₹24,400 still due shows on the dealer's statement and in the ageing report.
- Part payments allocated invoice by invoice, so nobody types a balance
- Statement with a running balance to send before the season-end settlement visit
- Copy reminder writes the follow-up with invoice numbers and days overdue

Where a dealer invoice goes next
The invoice that clears the dispatch bay also writes the receivable, the cost of the pumps and the GST, so the stock, the books and the dealer's account agree.

What SimpleERP does not do yet
- E-invoice IRN and QR code, and e-way bills, are not generated through the government APIs
- Cess is not calculated; GST return filing stays with you or your accountant
- No price lists: every line is priced as you bill it
- Dealer schemes and slab discounts are not applied by rule; type the discount on the line
- Warranty claims and replacements per pump are not tracked; a return is a credit note

FAQ
Questions, answered
Can I bill a dealer in Kerala from my Coimbatore unit?
Yes. Enter the dealer with his Kerala GSTIN and shipping address. SimpleERP reads the state code, sets the place of supply to Kerala and puts IGST on every line instead of CGST and SGST. If you change the shipping address to a Tamil Nadu site while editing, the lines switch back before you post.
Do pumps and spares need separate invoices?
No. One invoice can carry pumps, motors and spare impellers together, each with its own HSN and rate. The print groups taxable value by HSN in a summary at the foot, which is what the dealer's accountant and your GSTR-1 filer both look for.
Can SimpleERP make the e-way bill for a dealer truck?
No. E-way bills and e-invoice IRN are not generated through the government portals. Post the invoice in SimpleERP, then create the e-way bill on the portal with the invoice number and value, and type the vehicle number into the invoice notes if you want it printed.
Which GST rate should I charge on a submersible pump?
It depends on the exact HSN entry for that pump, and water pumps were among the items revised in September 2025. Set the rate on the product once your CA confirms it, and every invoice uses it from then on. Rates change, so confirm the rate for your goods with your CA or the GST portal before you rely on it.
