GST billing software for event management companies

Turn the accepted quotation into a GST invoice with SAC 998596 lines, let the advances already received settle it, and print a bill with your UPI QR for the balance.

In short

SimpleERP is GST billing software for event management companies in India. Quotations become SAC-coded invoices, booking advances sit on the client until applied, and CGST and SGST or IGST follow the client's state.

A GST billing day at Rangmahal Events

Rangmahal Events has a corporate offsite for a Gurugram software firm next week and a sangeet in Jaipur on Saturday. The offsite quotation went through four versions before the client's admin team signed it, and finance in Gurugram wants a tax invoice with their GSTIN before they release the second advance.

The accounts executive used to rebuild each bill from the last Word quotation, retyping the venue setup, the LED wall and the coordination fee, then working out whether a Haryana client meant IGST. A mistake there means a revised invoice and a client who pays a week late.

In SimpleERP the accepted quotation converts to the invoice with every line intact. The client's state, filled from their GSTIN, decides the split, so the bill to Gurugram takes IGST and the Jaipur sangeet takes CGST and SGST without anyone choosing.

Quotations

How does a revised quotation become the final bill?

Save each version of the quotation for the event and mark the one the client accepts. Convert it to an invoice, or to a sales order first if the scope may still shift, and the venue, decor and manpower lines arrive on the bill as quoted.

  • Lines from your saved services, each with SAC code, rate and a description you can edit per event.
  • Free-text lines for a one-off item such as a drone shoot or a welcome arch.
  • Quotation linked to the invoice, so the client's page shows both.

SAC and GST

Which SAC code and GST split goes on an event invoice?

Event organisation services usually sit under SAC 998596, and the split depends on where the client is registered compared with Rajasthan. A registered client in another state is charged IGST; one inside the state is charged CGST and SGST. The example below uses an illustrative rate.

  • Place of supply from the client's address, with the state filled in from the GSTIN as you type it.
  • SAC summary on the print and in the sales register your filer uses for GSTR-1.
  • Different codes on one bill when a line, such as goods sold outright, needs its own HSN.

Advances

Where do the booking advances go until the event?

Each advance is a receipt from the client left unallocated, so it shows on their account as money held. On the event invoice you apply those receipts, and the customer statement then shows only the balance due after the function.

  • Receipts by UPI, cheque or bank transfer, with the reference noted.
  • One receipt across several invoices when a family pays for the mehendi and reception together.
  • Credit notes when a function is cut short or a decor item is dropped after billing.

Honest limits

Billing limits event companies should know

  • E-invoice IRN and QR code, and e-way bills, are not generated through the government APIs
  • Cess is not calculated; GST return filing stays with you or your accountant
  • No price lists: every line is priced as you bill it
  • No package rates that fill themselves by guest count; price each line on the quotation
  • Advance receipt vouchers with their own GST are not produced; agree the treatment with your CA

FAQ

Questions, answered

Can I send a quotation first and bill only after the client confirms?

Yes. The quotation is its own document. When the client confirms, mark it accepted and convert it, and nothing posts to the books until the invoice is saved.

What rate goes with SAC 998596?

Event management under SAC 998596 is commonly billed at 18%, while catering, venue hire or goods sold separately may differ. Rates change, so confirm the rate for your goods with your CA or the GST portal before you rely on it.

A client in Mumbai booked a wedding in Jaipur. Is it IGST?

Place of supply for event services depends on whether the client is registered and where the event is held, so check the case with your CA. SimpleERP takes the place of supply from the shipping address, then the billing address, so enter the venue as the shipping address when your CA says the venue decides it.

Can the second and third payments be tracked against one booking?

Yes. Each payment is a receipt on the client. Keep it unallocated until the invoice exists, then apply it, and the statement shows every stage paid and the amount still open.
