Move from Vyapar to SimpleERP
Three Excel exports from Vyapar give SimpleERP your customers, suppliers, products, stock and unpaid bills. Vyapar stays on your phone as the archive of past sales.

In short
To move from Vyapar to SimpleERP, export Parties and Items to Excel, export the Sale and Purchase reports filtered to unpaid, and upload them on Settings → Import data. SimpleERP checks every row before anything is written.
You can move from Vyapar to SimpleERP in under an hour. Export your parties, items and unpaid sale and purchase bills from Vyapar to Excel, upload the files on Settings → Import data in SimpleERP, review what was found, and import each list in the order the page shows.
What comes across from Vyapar, and what stays behind?
SimpleERP brings the lists you need to keep working and the balances as of one date. It does not bring your past sales and purchases; Vyapar keeps those, and you can open it whenever you need an old bill.
| Vyapar export | Becomes in SimpleERP |
|---|---|
| Parties | Customers and suppliers with GSTIN, phone, email, billing address, state and opening balance |
| Items | Products with item code, HSN, sale price, purchase price, GST rate, unit and opening stock |
| Sale report, unpaid | Open invoices, one per unpaid bill, with its own number and date |
| Purchase report, unpaid | Open bills, one per unpaid supplier bill |
How do you export your data from Vyapar?
Vyapar exports each list to Excel from its own screen. Do all four exports on the same day, after the last bill before your cut-over is entered.
Export parties
In the left menu open Parties, tap ⋮ and choose Export to Excel. Save the file.
Export items
Open Items and choose Export. Check that opening stock and prices are filled before you export.
Export unpaid sales
Go to Reports → Sale report, filter Unpaid, then Export to Excel.
Export unpaid purchases
Go to Reports → Purchase report, filter Unpaid, then Export to Excel.
How does SimpleERP read Vyapar's columns?
SimpleERP matches Vyapar's columns by their names, so headers such as Party Name, GSTIN, Phone Number, Email, Billing Address, State, Opening Balance, Item Name, Item Code, HSN, Sale Price, Purchase Price, Tax Rate, Opening Stock and Unit map themselves. Each mapping shows a sample value from your file beside it.
- A column that is not matched can be mapped by hand: pick the SimpleERP field from the list beside it, or leave it ignored.
- The party type column decides the role: rows marked as customers go to Customers and rows marked as suppliers go to Suppliers.
- If a file has no party type column, choose Customers or Suppliers for that file in the files table.
- Phone numbers lose +91, spaces and dashes; the last 10 digits are kept.
- A blank state is filled from the GSTIN.
- A customer opening balance is what they owe you; a supplier opening balance is what you owe them.
In what order should you import?
Import in the order the page shows, because each list depends on the one before it. A card's Import button is enabled only when every earlier card is imported, skipped or has no file.
Customers
Press Check, read the counts and any errors, then Import.
Suppliers
Same file or a second one. A party already saved as a customer also becomes a supplier.
Products and stock
Opening stock is posted as one stock adjustment dated the day before your cut-over.
Opening balances
Fill the template from the Import data page with cash, bank, loans and capital.
Open invoices, then open bills
Each unpaid bill becomes a posted invoice or bill against the party.
Worked example: Lakshmi Steel Furnitures
Suppose Lakshmi Steel Furnitures in Coimbatore kept its books in Vyapar and starts SimpleERP on 1 April 2026. On 31 March they export 212 parties, 340 items, 38 unpaid sale bills and 9 unpaid purchase bills.
| Card | Rows in file | Check result | Imported |
|---|---|---|---|
| Customers | 176 | 2 errors: one GSTIN with a wrong check digit, one 9-digit phone | 176 after fixing the two rows in Excel |
| Suppliers | 36 | 1 party already a customer | 35 created, 1 marked as supplier too |
| Products and stock | 340 | No errors | 340 products, stock value ₹18,42,600 |
| Open invoices | 38 | No errors | 38 invoices, ₹6,75,400 receivable |
| Open bills | 9 | No errors | 9 bills, ₹2,14,800 payable |
Ravi Stores had an opening balance of ₹1,20,000 in Vyapar and ₹1,00,000 of unpaid bills in the sale report. After the open invoices import, SimpleERP keeps the two bills and leaves ₹20,000 as an opening balance, so the party is not counted twice. The check result says this for each party before you import.
What should you check after the import?
- Receivables ageing shows the same total as Vyapar's unpaid sale report.
- Payables ageing shows the same total as the unpaid purchase report.
- Stock value on hand matches Vyapar's stock summary as of the cut-over.
- Opening Balance Equity is zero, and cash and bank match your passbook.
- Five customers picked at random have the right GSTIN, state and phone.
If something looks wrong, undo that import from Previous imports on the same page. Undo is offered for 30 days and is refused once later work depends on it, for example after a payment is recorded against an imported bill. For more on balances, read opening balances when switching accounting software.
FAQ
Questions, answered
Can I keep using Vyapar after I move?
Yes, as an archive. Stop billing in Vyapar from the cut-over date so the two systems do not drift apart, and open it when you need a bill from before that date. Nothing in SimpleERP connects to Vyapar after the import.
Will my past sales and GST returns come across?
No. SimpleERP brings parties, products, stock, balances and unpaid bills as of the cut-over date. Returns already filed stay with Vyapar's records and the GST portal. From the cut-over, SimpleERP's sales register and HSN summary give you the figures for GSTR-1.
What if a GSTIN in Vyapar is wrong?
Check shows it as a row error with the row number, for example a wrong check digit. Fix it in the Excel file and upload again, clear the cell, or choose Import valid rows only and add that party by hand later.
My Vyapar items have batches and expiry dates. What happens to them?
Batch numbers and expiry dates are not imported. Each item comes across with its total opening quantity and cost. If you track batches, keep Vyapar's batch report from the cut-over date for reference.
Vyapar's export has a column SimpleERP did not match. Do I lose it?
Only if you leave it ignored. Every unmatched column has a picker beside it; choose the SimpleERP field it belongs to, and the sample value next to it shows whether you picked right before you press Check.
Do I have to bring everything?
No. Each card has a Skip link. Many shops bring only parties and products on the first day and add opening balances once the accountant has confirmed them.
