Move from Busy Accounting to SimpleERP
Busy exports its masters and outstanding lists to Excel. Those files give SimpleERP your parties, items, stock and unpaid bills, while Busy stays as the archive of past vouchers.

In short
To move from Busy to SimpleERP, export Masters to Excel from Data Export, export Outstanding Analysis for receivables and payables, and upload the files on Settings → Import data. SimpleERP checks every row before anything is written.
You can move from Busy to SimpleERP in about an hour. Export your masters and outstanding lists from Busy to Excel, upload them on Settings → Import data in SimpleERP, map any column that did not match, check the rows, and import each list in the order the page shows.
What comes across from Busy, and what stays behind?
SimpleERP brings your masters and the balances as of one date. It does not bring past vouchers; Busy keeps them, and you can open it for any bill or ledger before the cut-over.
| Busy export | Becomes in SimpleERP |
|---|---|
| Account masters (Sundry Debtors) | Customers with GSTIN, address, state, phone and opening balance |
| Account masters (Sundry Creditors) | Suppliers with the same details |
| Item masters | Products with HSN, GST rate, unit, prices and opening stock |
| Outstanding Analysis → Receivables | Open invoices, one per unpaid bill |
| Outstanding Analysis → Payables | Open bills, one per unpaid supplier bill |
How do you export your data from Busy?
Busy can export all masters in one go or any single list from its display screen. Use whichever is easier; the columns are matched the same way.
Export masters
Go to Administration → Data Export/Import → Data Export → Masters → Excel. Choose account masters and item masters.
Or export one list
Open any list, such as the list of Sundry Debtors, press Alt+E and choose Excel.
Export receivables
Go to Display → Outstanding Analysis → Receivables, set the date to the day before your cut-over, press Alt+E and choose Excel. Delete the report title rows so the first row holds the column headings.
Export payables
Do the same from Outstanding Analysis → Payables for unpaid supplier bills.
Re-save old .xls files
If the import page refuses a file as old Excel, open it in Excel, choose File → Save As, and pick Excel Workbook (.xlsx) or CSV.
Some Busy versions write the older .xls format. SimpleERP reads .xlsx and CSV only, and says so on the page when it meets an .xls file, so re-saving in Excel is the fix. The data does not change.
How does SimpleERP map Busy's columns?
SimpleERP matches columns by name, so common headers such as Name, GSTIN, Address, State, Mobile, Email, Opening Balance, HSN, Unit, Sale Price, Purchase Price and Tax Rate map themselves. Every mapping shows a sample value from your file beside it.
- A column that is not matched can be mapped by hand: pick the SimpleERP field from the list beside it, or leave it ignored.
- When a column says whether each row is a customer or supplier, SimpleERP uses it. Otherwise export Sundry Debtors and Sundry Creditors as separate files and choose Customers or Suppliers for each.
- Amounts with Dr or Cr suffixes and lakh grouping, such as 1,20,000.00 Dr, are read as written.
- Phone numbers lose +91, spaces and dashes; the last 10 digits are kept.
- Report layouts with merged title rows may need the extra rows deleted so the first row holds the headers.
In what order should you import?
Customers and suppliers
Press Check on each card, fix any errors, then Import.
Products and stock
Opening stock is posted as one adjustment per warehouse, dated the day before the cut-over.
Opening balances
Fill the template with the remaining trial balance lines: cash, bank, loans, capital and the rest.
Open invoices, then open bills
From the two Outstanding Analysis files. Each unpaid bill becomes a posted invoice or bill against its party.
Worked example: Lakshmi Steel Furnitures
Suppose Lakshmi Steel Furnitures kept its books in Busy on the office PC and starts SimpleERP on 1 April 2026. They export masters and both outstanding lists as of 31 March.
| Card | Rows in file | Check result | Imported |
|---|---|---|---|
| Customers | 148 | Sundry Debtors file, chosen as Customers | 148 customers |
| Suppliers | 41 | 1 GSTIN with a wrong check digit | 41 after the GSTIN was corrected |
| Products and stock | 286 | Item masters file was .xls and was refused; re-saved as .xlsx | 286 products, stock value ₹22,15,300 |
| Open invoices | 52 | No errors | 52 invoices, ₹8,94,750 receivable |
| Open bills | 14 | No errors | 14 bills, ₹3,02,400 payable |
Customer Kaveri Interiors had an opening balance of ₹2,40,000 in Busy and three bills in Receivables totalling ₹2,40,000. After the open invoices import, SimpleERP keeps the three bills and removes the lump sum, so the party is not counted twice. The check result says this for each party before you import.
What should you check after the import?
- The trial balance on the cut-over date matches Busy's trial balance as of the day before.
- Receivables ageing matches Busy's Outstanding Analysis → Receivables total.
- Payables ageing matches the Payables total.
- Stock value on hand matches Busy's stock status as of the same day.
- A few customers picked at random have the right GSTIN, state and credit days.
If a figure is off, undo that import from Previous imports on the same page, fix the file and import again. Undo is offered for 30 days and is refused once later work depends on the import, for example a payment against an imported bill. The cut-over date guide explains why the date matters.
FAQ
Questions, answered
Can I keep using Busy after I move?
Keep it as a read-only archive. Stop posting vouchers in Busy from the cut-over date so the two sets of books do not drift apart. SimpleERP does not connect to Busy after the import.
Will my GSTR-1 for past months change?
No. Returns already filed come from Busy and stay as they are. Nothing before the cut-over is posted in SimpleERP except opening balances and the open bills, which carry no GST, so past periods are untouched.
Busy exported an .xls file and the page refused it. What do I do?
Open the file in Excel, choose File → Save As and pick Excel Workbook (.xlsx) or CSV, then upload the new file. SimpleERP does not read the old .xls format, and re-saving changes nothing in the data.
What if a GSTIN in Busy is wrong?
Check shows it as a row error with the row number and the reason. Fix it in the file and upload again, clear the cell, or choose Import valid rows only and add that party by hand later.
Busy has many price lists for my items. Which price comes across?
One sale price and one purchase price per product: whichever columns you map to those fields. Other price columns can be left ignored.
Our accountant still uses Busy. Can they work in SimpleERP?
Yes. Invite them as a member with an accounting role. They see the same journals, trial balance and reports, and can compare the opening figures with Busy line by line.
