GSTR-2B reconciliation: matching your purchase register to claim input credit

Your books say you paid GST on a purchase. Your input tax credit depends on whether your supplier said so too, and GSTR-2B is where you find out.

In short

GSTR-2B reconciliation compares the monthly GSTR-2B statement with your purchase register, bill by bill, before you claim input tax credit. SimpleERP keeps the purchase register and exports it to CSV; the matching itself is done in a spreadsheet.

What is GSTR-2B?

GSTR-2B is a monthly statement of input tax credit that the GST portal drafts for you from what your suppliers have reported. You do not fill it in. It is built from your suppliers' outward returns, and it shows, invoice by invoice, the tax they say they charged you.

  • Auto-drafted: the portal prepares it from your suppliers' filings, not from your books.
  • Static: once generated for a month, it does not change when a supplier files late. A late invoice shows up in a later month's statement instead.
  • Monthly: one statement per return period, which is the reference for the credit you claim in GSTR-3B for that period.

As of October 2026, this is how the portal describes GSTR-2B. The details of what it includes and when it is generated are on the GST portal, and your chartered accountant will know any change since.

Why does input tax credit depend on your supplier's filing?

Input tax credit generally depends on the supplier having reported the invoice, so a bill that is missing from GSTR-2B is credit you cannot safely claim yet. Paying the supplier in full and holding a proper tax invoice is not enough on its own.

That is the whole reason to reconcile. Your purchase register is what you bought. GSTR-2B is what your suppliers told the government you bought. The credit you claim should sit inside both. A claim that runs ahead of GSTR-2B can come back as a notice, with interest, long after the month is closed and the people involved have moved on.

What does the purchase register need for a clean match?

The purchase register is the book side of the reconciliation, and it can only be matched if every bill carries the supplier's own invoice details. A register that lists your internal bill number but not the supplier's invoice number cannot be matched line by line.

ColumnWhy it matters for the match
Supplier GSTINThe first key. GSTR-2B lists invoices by supplier GSTIN, not by name
Supplier invoice numberThe second key. Must be typed exactly as printed on the supplier's invoice
Supplier invoice dateDecides which month the invoice belongs to
Taxable valueCompared with the value the supplier reported
CGST, SGST and IGSTCompared head by head; the wrong head is a mismatch even if the total is right
Bill totalA quick check that nothing was split or merged
Book-side columns every purchase register should carry.

Two habits make the match easy. Enter the supplier's invoice number exactly, with its slashes and hyphens. And keep supplier GSTINs right in the party master, because a typo there makes every bill from that supplier look missing.

What are the four outcomes of a GSTR-2B match?

Every line ends in one of four outcomes: matched, missing in GSTR-2B, missing in your books, or matched with a different amount. Each one has a different next step.

  1. Matched

The GSTIN, invoice number and tax agree on both sides. This is credit you can claim for the month. Tick it off and move on.

  2. Missing in GSTR-2B

You have the bill, but the supplier has not reported it. Hold the credit, then call or write to the supplier and ask them to report the invoice in their next return. It should appear in a later GSTR-2B, and you can claim it then.

  3. Missing in your books

The supplier reported an invoice you have not recorded. Find out why. Either the bill is sitting in someone's drawer and needs to be posted, or the goods never arrived, or the supplier reported it against the wrong GSTIN. Never claim credit on an invoice you cannot produce.

  4. Amount differs

Both sides have the invoice, but the taxable value or the tax is different. Check the physical invoice. If your entry is wrong, correct it the proper way. If the supplier's filing is wrong, ask them to amend it. Many businesses claim the lower of the two figures until the difference is settled.

How does a GSTR-2B reconciliation look with real numbers?

Here is a small month at Lakshmi Steel Furnitures, the fictional Coimbatore business used across this site. It posted five supplier bills in October 2026, and GSTR-2B for the month listed five invoices. Six lines in all, because two invoices each appear on only one side.

All purchases at 18%. Annai Plywood reported a taxable value of ₹56,000 against ₹60,000 in the books.

The books show ₹46,800 of GST paid and GSTR-2B shows ₹43,380. The credit Lakshmi Steel can support this month is ₹41,580: the three matched bills (₹31,500) plus the lower Annai Plywood figure (₹10,080). That leaves ₹5,220 on hold (₹4,500 + ₹720) and ₹1,800 waiting for a bill that nobody has found yet.

Look at the Annai Plywood line again. A ₹4,000 difference in taxable value usually means a discount on one side only, a short-supply adjustment, or a typing slip. The physical invoice settles it in a minute. The Ganesh Packaging line is the more urgent one: if the boxes arrived, the bill needs posting so stock, payables and GST are right in the books too.

How should a small business run the monthly GSTR-2B routine?

Reconcile every month, before GSTR-3B is filed, so the credit you claim is already checked. A month left alone becomes a quarter of chasing suppliers who no longer remember the invoice.

  • All supplier bills for the month are posted, with the supplier's invoice number and date typed exactly
  • Supplier GSTINs in the party master are checked against the invoices
  • The purchase register for the month is exported to CSV
  • GSTR-2B for the month is downloaded from the GST portal
  • Both files sit side by side in one spreadsheet, matched on GSTIN plus invoice number
  • Every line is marked matched, missing in 2B, missing in books or amount differs
  • Suppliers with missing or wrong invoices get a written request the same week
  • Bills on hold from earlier months are checked against this month's GSTR-2B
  • The credit figure goes to whoever files GSTR-3B, with the working attached

Keep the reconciliation sheet for each month. When a held invoice finally appears in a later GSTR-2B, the sheet tells you exactly which credit it releases and why it was held.

What does SimpleERP do for GSTR-2B reconciliation?

SimpleERP gives you the book side, clean and complete. Posting a supplier bill records the purchase, the stock, the payable and the GST in one step, and the bill appears in the purchase register. Posted bills cannot be edited or deleted; a wrong one is cancelled, which reverses it, and the history stays on record. That means the register you export is the same register your accounts are built on.

  • The purchase register lists posted bills with their GST, and every report exports to CSV.
  • CGST and SGST versus IGST is decided by place of supply, with the state taken from the GSTIN.
  • A debit note against a supplier bill reverses the tax and, for returned goods, the stock.
  • The accounting lock date stops anyone posting into a month you have already reconciled and filed.

Reports carry a GST summary and export to CSV, which is the starting point for the monthly match.

FAQ

Questions, answered

What is the difference between GSTR-2A and GSTR-2B?

GSTR-2B is a fixed monthly statement: once generated, it does not change. GSTR-2A updates whenever a supplier files, so it keeps moving. For deciding the credit to claim in a month, most businesses reconcile against GSTR-2B because it gives one stable figure to work from.

Can I claim input tax credit if the invoice is not in GSTR-2B?

It is not safe to. Input tax credit generally depends on the supplier having reported the invoice, so a bill missing from GSTR-2B should be held and the supplier asked to report it. Claim it in the month it appears. Confirm the treatment of any specific invoice with your chartered accountant.

How often should I reconcile GSTR-2B with my purchase register?

Every month, before GSTR-3B is filed. Monthly matching keeps the list of missing invoices short and the suppliers still remember the transaction. Leaving it for the year end turns a one-hour job into weeks of chasing.

What if the GST amount in GSTR-2B is different from my bill?

Check the physical invoice first. If your entry is wrong, correct it in your books. If the supplier's filing is wrong, ask them to amend it. Many businesses claim the lower of the two figures until the difference is settled, then claim the rest once it matches.

Does SimpleERP reconcile GSTR-2B automatically?

No. SimpleERP keeps the purchase register from your posted bills and exports it to CSV. It does not download GSTR-2B or match invoices. You or your chartered accountant put the two files side by side in a spreadsheet and match them on supplier GSTIN and invoice number.
