What is a suspense account?
What a suspense account is for, why it should be empty at year end, and how to park and then clear an unidentified bank receipt.

In short
A suspense account temporarily holds an amount whose correct account is not yet known. SimpleERP refuses unbalanced journals, so no suspense balance appears by itself; add one only to park unidentified receipts.
A suspense account is a temporary account that holds an amount until the bookkeeper knows where it belongs, such as a bank credit with no name, or a difference that stops the trial balance from agreeing. It is a parking place, not a home: every entry in it should be moved to the right account, and its balance should be zero before the books are closed.
Suspense account: a worked example
On 8 October 2026, ₹25,000 is credited to Lakshmi Steel Furnitures' bank account with only a UPI reference. The accountant parks it in Suspense. On 12 October Sri Murugan Traders confirms it was their payment for an open invoice.
| Date | Account | Debit | Credit |

FAQ
Questions, answered
When should I use a suspense account?
Only when money has moved and you cannot yet say why: a bank credit with no name, a payment without a bill, or a cash shortage under investigation. Clear each item within days. A suspense balance that sits for months hides an error.
Can a suspense account appear in the balance sheet?
It can, as a current asset or liability, but auditors treat any year-end balance as a warning. Identify and clear every item before closing the year, and keep a note of what is left if anything genuinely cannot be traced.
Why does SimpleERP never show a trial balance difference?
The database checks every journal before it posts and refuses one where debits and credits differ by even a paisa. Because every entry balances, the trial balance always agrees, so there is never a difference to park in suspense.
Why reverse the suspense journal instead of moving it to the customer?
A journal to Accounts Receivable changes the customer's balance but does not mark any invoice paid. Reversing the parked entry and recording a payment received applies the money to the invoice, so ageing and reminders stay correct.
