In short
An employee advance is money paid to an employee ahead of salary and recovered from later payslips in instalments. SimpleERP deducts the monthly recovery automatically until the advance is settled.
An employee advance, or salary advance, is money an employer pays an employee ahead of their earned salary, to be recovered from later pay. In the books it is an asset, an amount the employee owes the business, not an expense. Each month a fixed instalment is deducted from the payslip until the balance is nil.

FAQ
Questions, answered
Is a salary advance an expense?
A salary advance is not an expense. An advance is an asset, money the employee owes the business, until it is recovered. Salary expense is recorded only when salary is earned and the payroll run is approved; the recovery then reduces the advance instead of the bank payment.
Can an advance recovery make net pay negative?
An advance recovery should never make net pay negative. In SimpleERP a payslip with negative net pay blocks approval of the run, so reduce the recovery for that month. The unrecovered balance stays on the advance for the following months.
What happens to an advance when the employee leaves?
The balance is usually recovered from the final settlement. In SimpleERP, raise the advance's monthly recovery to the balance left before the final run, so the last payslip deducts it in full.
Can employees see their advance balance?
Employees can see their advance balance. The advances tab in employee self-service shows each of their advances with the amount, the recovery so far and the balance, and every recovery shows as its own line on the payslip.
