How to choose ERP software for a small business
Feature lists all look the same. Start from the jobs your business does every week, then test each product against them in one honest hour.

In short
Choose an ERP by listing the jobs your business does weekly, checking that each is covered end to end with GST built in, and testing with a real invoice before you commit. SimpleERP is free for seven days, so you can run that test today.
How should a small business choose ERP software?
Choose an ERP by the jobs it must do every week, not by the length of its feature list. A product with forty modules that handles your invoice badly is worse than one with ten that handles it well. The method below takes an afternoon and works for any product.
List your weekly jobs
Write down what your team does every week: billing, receiving stock, paying suppliers, marking attendance, running payroll.
Mark who does each job
Owner, accountant, sales, store, HR. Each person becomes a role in the new system.
Shortlist two or three products
Use the questions and the India checklist below to cut the list quickly.
Run the one-hour trial
Post a real invoice, a bill and a credit note in each product and check what moved.
Decide on the gaps
Write down what each product does not do and whether you can live without it for a year.
Which questions should you ask every ERP vendor?
Ask questions that reveal how the product behaves, not what it claims. A good answer names a mechanism you can check in the trial.
| Question | Why it matters | A good answer |
|---|---|---|
| What happens when I save an invoice? | Shows whether stock, books and GST move together | Stock, receivable, sales, GST and cost of goods sold post in one step |
| Can a posted invoice be edited? | Edited posted documents break audit trails | No; it is cancelled with a reversal or corrected with a credit note |
| How is stock valued? | Drives cost of goods sold and profit | A named method, such as weighted average, applied automatically |
| Do you charge per user? | Per-user pricing punishes adding staff | A clear answer, in writing |
| Can I export all my data? | You should never be locked in | CSV export of reports and master data, and a print of every document |
| Who can see what? | Sales staff should not see salaries | Roles you can edit, with permissions per module |
| Does it work on a phone? | Attendance, approvals and receipts happen away from a desk | Every screen works on a phone browser |
What India-specific features must a small business ERP have?
An ERP for an Indian business must apply GST correctly by itself, without you choosing the tax type on every line. Use this checklist; any missing item means manual work every month.
- CGST and SGST for supplies within your state and IGST across states, picked from the place of supply
- GSTIN validation, with the state read from the first two digits
- HSN codes for goods and SAC codes for services on every line
- An HSN summary and sales and purchase registers your accountant can file from
- Invoice numbers that follow the April to March financial year
- Rupee amounts with lakh and crore grouping, and the amount in words on prints
- Payslips with PF, professional tax and TDS as deductions
- Clean A4 prints of every document
How do you test an ERP before you commit?
Test an ERP by running one real transaction end to end and checking every place it should appear. Here is the one-hour script, using Lakshmi Steel Furnitures, the fictional Coimbatore business on this site. Replace the names with your own customer and product.
Set up the business
Enter the business name and GSTIN 33AAACL1234A1Z5. The state should fill itself as Tamil Nadu. Time how long setup takes.
Add a product with opening stock
Steel rack 4 shelf, HSN 9403, sale price ₹4,990, 42 in stock at a known cost.
Bill a customer in your state
Invoice Ravi Stores for 2 racks. Expect CGST 9% and SGST 9%: ₹898.20 each on ₹9,980, total ₹11,776 after round off.
Check what moved
Stock should read 40. Ravi Stores should owe ₹11,776. The ledger should show sales, output GST and cost of goods sold.
Bill a customer in another state
Change the place of supply to Kerala. The same invoice should switch to IGST 18%, ₹1,796.40.
Correct a mistake
Raise a credit note for one rack returned. Stock should go back up and the GST summary should net the note.
Try it on your phone
Open the invoice, record a receipt and mark attendance from a phone browser.
If any step needs a workaround, a support call or a second entry, write it down. Those notes are your real comparison.
How is ERP software priced for small businesses?
ERP software is priced per user, per module, as a flat subscription or free to start with paid plans later. The total over three years matters more than the first month.
| Pricing model | What to check |
|---|---|
| Per user per month | What it costs when your team doubles, and whether read-only users count |
| Per module | Whether payroll, manufacturing or multi-branch are paid add-ons |
| Flat subscription | Limits on invoices, branches or storage |
| Free to start | What changes later, and whether your data stays exportable |
Add the hidden costs too: setup help, training time and the month you spend running old and new systems together.
Which warning signs should make you walk away?
Walk away from a product when its answers depend on a consultant you have not met yet. These are the common red flags:
- Posted invoices can be edited or deleted without a trace
- Stock and the books can disagree, with a "sync" button to fix them
- Setup needs weeks of consulting before you can raise an invoice
- Data export is limited or charged separately
- GST type has to be chosen by hand on each invoice
- The demo uses a different product from the one you will get
How does SimpleERP score on this checklist?
SimpleERP covers the core jobs and the India checklist above, and it is honest about what it does not do yet. Use the table as a starting point for your own trial.
| Area | SimpleERP |
|---|---|
| Invoice posting | Stock, receivable, ledger, GST and cost of goods sold in one step |
| GST | CGST and SGST or IGST from the place of supply, GSTIN validation, HSN and SAC, HSN summary, registers |
| Stock valuation | Weighted average cost, enforced by the database |
| Team | A login for every member, seven built-in roles plus custom roles copied from them, invite by phone or email |
| Phone | Every screen works on a 360 px phone browser |
| Data | CSV export on every report, the product and stock lists, the ledger and Settings export; A4 print of every document |
| Not included yet | E-invoice (IRN) and e-way bill generation, multi-currency, batch and serial tracking, FIFO, bank feeds |

FAQ
Questions, answered
What is the best ERP for a small business in India?
The best one is the one that handles your weekly jobs with GST built in and that your team will actually use. Shortlist two or three, run the same one-hour trial in each and compare your notes rather than feature lists.
How many modules does a small business need on day one?
Usually three or four: billing, stock, purchases and accounting. Add payroll, CRM or manufacturing when the job exists. A good ERP lets you ignore modules until you need them.
Should I choose a cloud ERP or a desktop ERP?
Cloud ERP runs in a browser, works from a phone and needs no server or backups on your side. Desktop software can suit a single office with no reliable internet. Most small businesses with more than one user now choose cloud.
How long should an ERP trial take?
One focused hour tells you most of what you need: setup, a product, two invoices, a credit note and a phone check. Then run a full month in parallel with your current system before you switch, as the implementation guide explains.
